We have an exciting opportunity for an Event Planner to join our team! You will be responsible for the development, planning and execution of high-profile in-person and virtual meetings, events and golf tournaments for the office of the CEO, including both internal and external audiences. All programs must be aligned with the business objectives of the firm. You will report to the Head of Events at AIG and have opportunities for elevating the quality and effectiveness of regularly occurring events to maximize the event ROI and elevate the client experience.
What you'll do:
o Collaborate with internal and external stakeholders to develop compelling colleague, client and broker events, meetings, and golf tournaments that ensure successful delivery of both in-person and virtual events. Some events will be hybrid
o Responsibilities include venue selection, contract negotiations, development of agendas, coordination of ground transportation, food and beverage, accommodations and budget reconciliation
o Develop the overall event strategy and theme, defines the event objectives, suggests new and creative approaches to engage attendees, implements the plan, and measures the effectiveness of event experience post event
o Responsible for reporting on all post-event metrics including survey results and actual attendance
o Always in search of new and innovative ideas and ways in which to plan in-person and virtual events
o Communicate regularly with executive stakeholders on event status, objectives, and agenda items from pre-launch through program execution
o Oversee numerous third-party vendors including DMCs, hotels, caterers, AV, dcor, and printed marketing materials
o Work closely with Marketing and Communications on all event collateral such as signage, promotional materials, messaging and branding, and presentation materials
o Budget reconciliation following each event where they will report to the head of events as well as their business partner
o Contribute to the creation of agenda items and business sessions that are aligned with business strategies and broker/client needs
o Partner internally to create communication plan, including invites and other promotional event marketing communications
o Utilize Cvent (AIGs cloud- based registration tool) to register and track meetings and events, manage registration and event spend; also responsible for the build of event applications
o Manage VIP special projects and oversee executive logistics
o Evaluates program impact and plan for continuous improvement. Propose new ideas to improve the event planning and implementation process
What we're looking for:
o 7+ years experience in marketing and events management, preferably in professional or financial services industry
o Bachelor's Degree
o Strong event management skills with demonstrated ability to identify opportunities for innovation and continuous improvement, and ability to execute projects in a timely manner
o Excellent customer service skills and ability to work with C-Suite Executives; must always be willing to go the extra mile
o Ability to work in a fast-paced, matrixed organization and to manage multiple competing priorities
o Strong negotiation, project, and time management skills
o Budget oversight skills including creation, management, analysis, and reconciliation
o Must be extremely well versed in all Microsoft platforms including Word, Excel, and PowerPoint
o Detailed understanding of event and conference contract terms and conditions and experience with contract negotiations
o Must be highly creative, enthusiastic, and take an interest in keeping up with the Industry trends
o A basic knowledge of audio-visual requirements is required
o Excellent written and verbal communication skills
o Not required, but helpful if you have an interest in golf
o Experience using Cvent and Salesforce
o Demonstrates on-site leadership
o Must have the ability to respond to conflicting demands which may be on an urgent and ad-hoc basis and prioritize appropriately
o Ability to be poised under pressure, flexible with time constraints, and changing schedules
o Post Covid, this position will require 10-15% travel but may increase as the department grows
