Job Description
* Provide general administrative support to the Assistant Regional Manager and Branch Managers for the Houston, Texas Branch.
* Perform general accounting functions including billing, A/R, new account setup and job costing.
* Monitor all incoming invoices and ensure proper coding for payables process, contact vendors when invoices are late to ensure proper payment during month expense was incurred.
* Contact customers to ensure timely payment of invoices and communicate all billing/receivable issues to Branch Manager.
* Gather semi-monthly timesheets from salaried Branch employees and send to Payroll Administrator every pay period and distribute paychecks to Branch employees.
* Complete work orders received from customers and provide follow up when completed
* Maintain current listing of drivers for Branch fleet vehicles and communicate this listing to the Safety/Risk Management department.
* Coordinate customer events such as golf tournaments and after-hours functions within budgetary guidelines.
* Answer telephones in a professional manner and route calls appropriately.
* Order office supplies and office equipment (laptop, Blackberry, etc) for the Branch through appropriate vendors.
* Run and enter annual inventory of all locations.
* Keep all subcontractor contracts and insurance up to date.
* Profit and Loss report running and auditing.
* Complete special projects as needed.
*Job duties or responsibilities may be modified as needed to reflect changing priorities and/or work conditions with ABM.
Minimum Requirements
Education/Training:
High school or equivalent GED required. 3-5 years of office experience preferred.
Job Knowledge/Experience:
Must have strong MS Word and Excel knowledge, as well as ability to learn proprietary software. Industry experience preferred but not required. Must be flexible and be able to multi-task.
Language Requirements:
Must be able to speak and communicate professionally in English and Spanish (required).
Writing Skills:
Must have strong communication skills and be able to write business correspondence.
