Job Objective:
Coordinates Safety, Compliance, Environmental, Health and other training programs as requested for Hilcorp Alaska, to help promote and ensure regulatory compliance and a safe work environment and skill performance.
Essential Job Responsibilities:
Analyze and determine ILT session needs for Hilcorp Alaska:
Generate training status and demand reports from company Learning Management System (LMS)
Compile class requests from Leadership and employees of Operations
Generate quarterly training plans to meet compiled needs:
Research availability of target work teams through their Foreman and Leads
Plan session dates that fall within their availability parameters
Research and monitor company projects and field work activities, that may impact student availability
Source Trainers for the planned training dates:
Secure internal trainers, when available
Source 3rd party trainers from vendor pool
Send out requests to vendors and compile availability & pricing
Select vendors and trainers to meet schedule needs
Negotiate and review contract terms with vendors and vendor is active & ready for use
Build schedule of upcoming classes:
Maintain Master Schedule for Training Department use
Use Outlook Calendar meetings to reserve classrooms and notify instructors
Identify and manage Instructor logistics, as needed
Coordinate & reserve flights, ground transportation, billeting, supply shipments, catering, classroom set-up
Perform room setup for Anchorage classes, as needed
Finalize vendor contracts and pricing for each sessions
Build schedule of sessions in LMS
Compile available sessions into bi-monthly newsletter
Manage Enrollment for scheduled sessions:
Monitor and manage minimum and maximum enrollments for each session
Maintain rosters of non-LMS class registrants (contractors and external students)
Prepare and deliver session rosters for Instructors
Communicate pre-class instructions and information to enrolled students
Coordinate and communicate student logistics, when necessary
Monitor and Manage session as they are delivered
Monitor and document resolve any last-minute enrollment, instructor, or logistics changes
Manage post-class session tasks
Retrieve session rosters from Instructors
Deliver student completion cards, certificates, materials, as needed
Process final rosters in LMS
Finalize expenses for vendor invoice
Receive and process vendor invoices
Monitor and manage invoice payment process and progress
Process all other training-related expenses through A/P and Expense system, in accordance with company policies and procedures
Help manage long-term storage of digital invoice records
Categorize, track and monitor vendor training spend
Collaborate with field management regarding class effectiveness, timing and any recommendations for improvement of content, execution, and reporting
Recordkeeping & Reporting
Assist with management long-term records for retention and accuracy
Help manage long-term storage of digital roster records
Generate and communicate periodic and ad-hoc reports from the LMS
Set up reports for future needs analysis
Collaborate with IT team to set up report feeds for Power BI dashboards, as needed
Maintain Course Catalog
Maintain detailed knowledge of courses within training catalog, as related to Alaska operations
Assist in maintaining catalog of courses in LMS
Ensure proper documentation and student instructions are published in LMS
Assist in maintaining master Course Descriptions
Assist in maintaining master Course documents and materials
Assist in maintaining master SCORM files for computer-based training
Maintain catalog of contractor-facing courses at 3rd party delivery site
Track version published at 3rd party site and update when necessary
Arrange digital delivery of updated SCORM files to 3rd party site
Assist in sourcing or building new, online courses, as needed
Learn and use eLearning design & development software
Convert written and PPT content from SMES and convert into training format, as directed
Build online interactions and testing content, as directed
Repair or update online courses, as needed
Company Activities
Participate in Team/Department/Company activities as directed
Source and attend personal development training as needed or directed
Carry out all responsibilities in alignment with Company vision and values.

Qualifications:
Minimum of 3 years of experience in Human Resources or other administratively intensive role with demonstrated success.
Strong and effective organization, communication, administrative, and customer service skills.
Ability to establish and maintain effective working relationships with employees, supervisors, other departments, officials, and the public.
Ability to complete multiple, diverse tasks of differing priorities without close supervision while maintaining a high level of attention to detail.

Proficiency in the use and application of the computer software:
Microsoft Office 365 Suite (Excel, Word, Outlook, PowerPoint, Teams, Planner)
Virtual training sessions via Microsoft Teams
Prior experience working in a recordkeeping database and reporting
Prior experience working with LMS and other training technologies
Education Requirements:
Required: Graduation from high school or GED equivalent, or a combination of education and experience demonstrating sufficient knowledge, ability, and skill to handle the duties and responsibilities of the position.
Preferred: Bachelor’s Degree from an accredited four-year university or college with a degree in human resources, business administration, industrial psychology, or a closely related field.
