The Office Manager manages the general administration, office services and/or administrative support function for the office(s) with generally 100+ employees, and serves as a career advisor for 3+ employees. The incumbent is responsible for directing and coordinating office services and/or administrative services and related activities (for an office). This is not a working supervisor.
Responsibilities:
Manage one or more office services (duplication, mail and distribution, reception, records center/file management, tax processing, or word processing) or administrative support groups for office(s) with generally100+ employees
This includes coordination of coverage, monitoring volume and workflow, process improvements, quality of work products, and budgets
Provides effective leadership to employees and/or teams through: planning appropriate staffing levels; interviewing, selecting, orienting, and training; communicating performance expectations & providing feedback on performance, recognition, coaching, employee counseling reports and/or discipline including termination; creating career growth opportunities and employee development plans
Serve as a career advisor to 3+ employees providing consistent and timely feedback on performance and work product – this includes hiring and terminating employees per firm policy
Manage office equipment and supply needs
May coordinate office building/facility matters (maintenance requests, communications, access cards, etc.)
Serve as a resource for staff who have questions regarding office policies and procedures
Other duties as assigned
Required Qualifications:
Associate’s Degree or equivalent experience
Intermediate to advanced Microsoft Office skills
Strong communication skills both written and verbal
Applies technical/procedural requirements of the position based on knowledge and experience within specialization
Ability to attract, lead, motivate and retain a team
Ability to train, mentor and provide guidance and feedback to other team members
Effective organization and time management skills
Ability to manage multiple tasks
Strong attention to detail
5-8years relevant experience
3+years supervisory experience
Ability to supervise, direct and review the results of projects or assignments
Ability to support, affect and implement change
Ability to impact and influence a diverse population
