JOB SUMMARY
NOV MD Totco is looking for an experienced Administrative Assistant located in Casper, WY to assume the administrative responsibilities for the Rocky Mountain Region. Reporting to the Rocky Mountain Regional Manager, the Administrative Assistant will be involved with billing, accounts receivable, accounts payable, inventory, and shipping.
PRIMARY RESPONSIBILITIES
* Comply with all NOV company and HSE policies and procedures
* Perform administrative, receptionist and data entry tasks
* Setup new clients, vendors, and accounts as needed
* Work closely with the service team to assist with transactions and keep them updated on changes in policies and guidelines
* Prepare billing tickets as needed, sending them for approvals before processing them for invoicing
* Process supplier invoices in a timely manner
* Prepare packing slips and keep track of orders, in-bound and out-bound shipments and highlight shipment discrepancy
* Assist the inventory team with counts, transfers, setup bin locations and labels
* Serve as the liaison between the supervisors, managers, technicians, and other company personnel. Relay messages and instructions
* Type and distribute information; organize and maintain filing systems; prioritize and annotate mails
JOB QUALIFICATIONS
* High School diploma or equivalent
* 2-3 years of administrative experience
REQUIRED SKILLS
* Effective verbal and written communication skills
* Excellent attention to detail and accuracy
* Strong problem solving and assessment skills
* Excellent customer service skills
* Proficient computer skills and knowledge of Microsoft Office
* Good organizational skills to plan and organize tasks
* Strong time-management skills with the ability to prioritize in a fast-paced environment
