Position Summary:
Position requires mastery of the executive associate function, including projection of a strong presence internally and externally with a high level of professionalism. Candidate will perform highly diverse administrative duties, which involve senior level contacts and exposure to sensitive information requiring confidentiality, discretion, and good judgment, as well as the highest level of core behaviors.
Key Responsibilities and Major Duties:
* Support the Executive Clinical Development and team of Senior Clinical Development and Trial Physicians in Cell Therapy Clinical Development.
* Perform highly diverse, and often time-sensitive, complex administrative functions, projects, and tasks.
* Address correspondence, manage a dynamic calendar across time zones, schedule meetings, conferences, and events, make domestic and international travel arrangements ensuring adherence to corporate travel and expense policies,maintain accurate departmental records, and on-board & off-board contractors and employees.
* Reconcile business expenses monthly for the executive and team
* Manage, coordinate and support department meetings as requested, effectively coordinating with other department personnel as needed.
* Maintain a poised and positive attitude, a high level of productivity, and be adaptable to change and the fluid work timelines of the team.
* Proactively look ahead at schedules, events, and needs of manager/team, anticipate conflicts, problems and issues, and take appropriate steps to produce desired outcomes with minimum assistance from supervisor.
* Interface in a professional manner with senior executives and matrix team members, handle confidential information with discretion and demonstrate diplomacy and excellent judgment in dealing with sensitive situations; represent the executive and team in a professional and positive manner to internal colleagues and external parties.
* Anticipate key issues and implement action plans based on changing priorities and commitments.
* Prioritize activities and take action based on an understanding of departmental objectives and business needs.
* Maintain professional and technical knowledge by remaining current with BMS continuous learning modules.
Qualifications:
* High School degree required, college degree desirable
* At least 7 years administrative or comparable experience. Prior BMS and/or Executive Associate experience preferred
* A collaborative team player who effectively builds relationships with team and other departments.
* Strong organizational skills, ability to pay close attention to detail and follow-up, and properly balance priorities and resources.
* Ability to interact with colleagues at all levels of the organization.
* Proactive, reliable and accountable, and ability to work with minimal supervision.
* Ability to prioritize, work independently and collaboratively with other administrative assistants/external partners, across organizational levels, functions, and support business needs across different time zones and during periods of heavy workload.
* Exhibits a positive work attitude, high productivity and a collaborative approach with other employees across a matrix and international environment.
* Highly proficient in various BMS systems (or willing to learn rapidly) (Concur Travel/T&E, MS Teams, SAP, eSetup, Conf Room Scheduling, WorkDay, and Sharepoint) and other office tools (Office365, Calendar, eMail and audio/ video conferencing).

Minimal domestic travel may be expected.
