The Administrative and Grants Coordinator overalls responsibility is to provide complete grant/research administrative support for faculty and post-doctoral research fellows whose research activities reside in the Center for Computational and Integrative Biology (CCIB) at Massachusetts General Hospital. CCIB is an affiliation of faculty drawn together by a common interest in the study of biology through methods engaging a broader scale of inquiry than the existing standard of the era. The faculty collectively has highly diverse interests, ranging from inquiries into the origins of life, the mechanisms of host-pathogen interactions in plants and model organisms, the relationship between atherosclerosis and inflammatory responses in vertebrates, and the collection and analysis of comprehensive measures of physiology in an attempt to understand the harbingers of adverse outcomes (principally sepsis and its sequelae) in individuals treated for trauma. Often faculty create new tools to accomplish their goals. In recent years CCIB faculty have increasingly turned to chemistry and chemical biology to provide probes of signaling pathways, to identify important mediators of host-microbe interactions, to understand and simulate the conditions associated with the emergence of life, and to directly address human diseases through therapeutic intervention. Center investigators also conduct translational research to explore the potential utility of early stage drug candidates that are developed either in the local academic community or presented to the Translational Medicine Group from the biopharmaceutical industry.
CCIB provides support for investigators at the hospital and across Boston through a variety of autonomous cores that provide services in DNA sequencing, oligonucleotide synthesis and research laboratory automation. The Coordinator will have an opportunity to interface closely with this group of investigators and help them achieve their long-term mission of curing patients. Incumbent will receive training and mentorship from the Centers Senior Administrative Manager.
Characteristic Duties:
Assist in the Pre-Award Sponsored Research Development Process including:
* Assisting with the completion of applications from various sponsors
* Updating & Maintaining Bio-sketches, other CVs and various template documents
* Budget development
* Institutional record creation
* Maintaining protocol approvals
* Processing amendments to protocols when needed
* Gathering other documents as required
Assist Post-Award Fund Management Process which includes but may not be limited to:
* Arranging for reimbursements internally and externally
* Interfacing with the administrative and financial team of the department
* Meeting regularly with investigators to review and monitor monthly financial report
* Purchasing of lab supplies and tracking expenses by end user
* Reviewing expenses on projects to ensure they are in compliance of all Sponsored Regulations and Institutional Policies
May also assist with;
* Arranging travel to conferences and or other meetings for investigators and Center members when necessary
* Organizing Center group meetings, conferences and social outings
* Arranging interview visits for prospective new Center members
* Updating the Center website
* Developing written policies and standard operating procedures for the laboratorys general administrative tasks
* Other administrative duties as they arise
High School Diploma Required
Bachelor's degree strongly preferred.
1 year of related experience - required
Computer Proficiency with Microsoft Office - particularly Excel and Word - required
Must have exceptional organizational abilities, be analytical and a self-starter who can demonstrate a keen attention to detail and is very resourceful. Should have excellent prioritization and multitasking skills and be able to work well under pressure to professionally resolve issues that may arise. Must be able to work independently, be flexible, accountable, and responsible with the ability to manage multiple tasks and prioritize work. Proficiency in working with programs including Microsoft Word, Microsoft Excel, and Adobe Professional, Google Docs, and Google Calendar is a must and will be routinely used on a daily basis. Excellent oral and written communications as well as superior interpersonal skills are critical. This position requires the ability to follow through on a variety of items and details to ensure timely completion of tasks.
Due to the amount of personal and financial information involved, the Grant Coordinator must have a facility for treating sensitive information related to salaries, department finances and science in a confidential and professional manner.
Research database experience would be helpful, but not necessary. The ability to learn new software programs and techniques quickly is essential. Assistant should be eager to learn and not be afraid to ask questions when unsure or if he/she does not understand.
Incumbent must have strong reading, writing, math and analytical skills.
