The Executive Associate II position provides executive administrative support to the Head, Global Pharmacovigilance & Epidemiology and will also be responsible for Administrative and Logistical Support for Medical Review Group Meetings (MRG). Performs highly diverse administrative and project focused duties, which by nature of the position will involve high level contacts and exposure to confidential material necessitating the use of tact, diplomacy, discretion and judgment. The candidate must have proven skills in prioritizing and multi-tasking, as well as the ability to remain poised and focused in a fast-paced working environment.
Key Responsibilities and Major Duties
Performs highly diverse and complex administrative functions, including but not limited to
Proactive calendar / phone management and calendar conflict resolution, domestic and
International travel arrangements, and preparing expense reports.
Provide Medical Review Group (MRG) Administrative and Logistical Support
MRG administrator will be responsible for managing all administrative and logistical aspects of the MRG, including: Notification of meetings, Meeting arrangements, Dissemination of decisions and actions, Archiving and retention of MRG-related documents.Administrative and Logistical Support
A designated member of R&D Operations Project Management in conjunction with a designated MRG administrator will be responsible for managing all administrative and logistical aspects of the MRG, including:
* Notification of meetings
* Meeting arrangements
* Drafting minutes
* Dissemination of decisions
* Monitoring the implementation of MRG decisions
* Recording the Chairs Actions
* Archiving and retention of MRG related documents
Ensures that critical meetings are prioritized appropriately and facilitates their occurrence
Within appropriate timelines. Anticipates needs of manager and/or team, and takes
Appropriate steps to produce desired outcome with minimal assistance from supervisor with
Accuracy and efficiency to meet deadlines.
Reads, researches and routes correspondence as appropriate; drafts / reviews letters and
Documents; collects and analyzes incoming information, as relevant, in support of the
Department. Independently researches more complex inquiries and responds or escalates
Inquiry, recommending solutions as appropriate.
Interfaces in a professional manner with senior executives and matrix team members,
Handles confidential information with discretion and demonstrates diplomacy and excellent
Judgment in dealing with sensitive situations
Anticipates key issues and implements action plans based on changing priorities and
Commitments.
Prioritizes activities and takes action based on an understanding of departmental objectives
and business needs.
Maintains and organizes office operations and procedures such as filing systems, expense
reports as appropriate, purchase orders, office supply orders, and other administration
Services.
Adheres to T&E policies, including booking international and domestic travel, monthly
reconciliation of business expenses for executive(s) and staff.
Prioritizes and completes support requests in a timely manner (i.e. issues with IT, systems,
facilities, congress attendance, etc.)
Supports managers preparedness for meetings (e.g., identifies relevant meeting materials &
Pre-reads)
Maintains professional and technical knowledge by remaining current with BMS continuous
learning modules.
Ensures coverage is seamless (e.g., during vacations) as well as with unplanned absences
(e.g., emergencies).
Qualifications:
High School degree, some college or degree desirable.
8 years administrative or comparable experience, prior BMS and Executive Associate
experience preferred.
Proficiency with Microsoft Suite (Outlook, Word, Excel, Powerpoint). Knowledge of BMS
Systems, Policies, and Processes.
Expertise with Concur Travel and T&E, Ariba/SAP, Sharepoint, eSetup, eTime, Workday,
and Room Scheduler.
Experience leading and managing logistics for high-level governance and large function
meetings across departments preferred. Will be the MRG (Medical Review Group) Admin
Demonstrated ability to prioritize, pro-actively work independently and collaboratively with
other administrative assistants/external partners, across organizational levels, functions, and
supports business needs across different time-zones and during periods of heavy workload.
Ability to anticipate issues in complex environment and identify solutions to problems.
Experience in and/or knowledge of different divisions within BMS preferred.
Ability to multi-task and adapt quickly to competing priorities while remaining focused
Ability to learn new tools and systems quickly in an ever-evolving environment
Exhibits a positive work attitude, high productivity and a collaborative approach with other
employees across a matrix and international environment.
