Job Description

This individual -- to be based in Kalamazoo, MI -- will assist Manager with the effective managing of assigned facility. Supervise a team and vendors to provide an efficient and safe working environment using best business practices, managing resources, services and processes. Assist Manager in planning assigned facility optimal space utilization. Assist Manager with developing operating budgets, ensuring compliance with internal policies and guidelines, assist manager with negotiating vendor contracts.

* Oversee day-to-day functioning of assigned site.
* Assist Manager in managing projects at various sites as needed.
* Supervise facility central services such as reception, security, cleaning, catering, waste disposal and parking.
* Conduct and document regular facility inspections.
* Ensure compliance with health and safety standards and industry codes.
* Supervise maintenance and repair of facility and equipment.
* Assist Manager in preparing facility operating and capex budget, monitor expenses and payments.
* Assist Manager in generating regular reports and reviews of facility-related budgets, finances, contracts, expenditures and purchases.
* Assist Manager in implementing best practice processes to increase efficiency.
* Obtain quotes from vendors and suppliers.
* Assist Manager in partnering with indirect procurement to negotiate contracts optimizing delivery and cost saving.
* Complete Facility PMs in a timely and concise manner.
* Inspect/coordinate/perform the maintenance and repair of facilities, grounds and related equipment.
* Coordinate and monitor activities of contract suppliers.
* Assist Manager in developing, fostering, and maintaining good contractor and vendor relationships.
* Verify payment and invoicing match contract pricing.
* Advise on and monitor energy efficiency.
* Respond to facility and equipment alarms and system failures.
* Provide prompt response to requests and issues from occupants and internal customers
* Coordinate and oversee intra-office moves.
* Assist Manager with oversight of construction, facility refurbishment and renovations projects.
* As applicable, performance manage, develop and train facilitys staff.

Education & Special Trainings:

* 5+ years experience.
* Associate or Bachelor degree required. Degree in Facilities Management, Engineering or related qualification such as Project Management, Business Management, Organizational Management, or Construction Management preferred.
* Some working knowledge of principles and practices of project management, electrical and mechanical systems, health, safety and environmental regulations, construction, maintenance and all facets of facility operations.
* Supervisory experience preferred.
