We are looking for an Administrative Assistant for our Grass Lake, Michigan corporate facility supporting our Clean Air business group. You will be site administrative support for the Commercial, Program Management, Human Resources and Finance functions. The administrative assistant will be a main point of contact for internal employees and visitors. This individual will perform assigned tasks with a large focus on professionalism and positive communication. Key characteristics of a successful administrator include problem solving, organization and teamwork.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

* Administrative support for the Grass Lake, MI facility as well as support different business functions within the site.
* Back up payroll processing and reports for 60+ hourly employees using ADP and Excel.
* Initiate, compile, type and distribute memos and other forms of communication. (Creates graphics as necessary to use in office posters or email communications.)
* Assist in scheduling site-wide meetings and coordinating rooms or virtual meeting set up.
* Assist in maintaining the HR email inbox.
* Creates PowerPoint presentations for HR team.
* Process and organize employee immigration paperwork for the HR Manager.
* Maintains and submits expense reports for Manager/Director level employees.
* Creates and maintains employee files and completes new hire actions using the Red Carpet system.
* Help manage vacation database for all employees.
* Distributes and tracks awards for TENspot recognition program.
* Creates various letters for employees including proof of employment, visa letters, etc.
* Enters spend requests for charges to Purchase Orders when needed.
* Create and maintain org charts and email distribution lists as needed.
* Develops administrative processes for continuous improvement.
* Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries.
* Directs visitors by maintaining employee and department directories; giving instructions.
* Maintains security by following procedures; monitoring logbook; issuing visitor badges.
* Responsible for site fleet vehicles including, but not limited to, managing the fleet vehicle calendar, schedule maintenance, scheduling oil changes, and managing any vehicle recalls.
* Acts as a key member of engagement committees.
* Sorts mail daily and maintains an accurate mail list for employees.
* Additional administrative duties assigned as needed.

Required Skills

MINIMUM QUALIFICATIONS:

* High School Diploma or equivalent education are required, desire to pursue higher education is encouraged.
* Experience with HR systems including SAP, ADP, Lotus Notes, Certify, Red Carpet, etc. preferred
* Previous receptionist, administrative assistant or similar experience preferred
* Strong verbal and written communication skills required
* Intermediate level or higher proficiency in Microsoft Outlook, Excel, PowerPoint and Word
* Ability to manage time effectively, remain organized and multi-task during day to day tasks
* Attention to detail and problem solving skills
