PURPOSE OF THE JOB

The main feature of this role will be to offer support to the Business Unit Director Business Unit Management Team and the DCS Business Development Manager, ensuring the effective provision of administration support to the Business Unit, maintaining concise records and detail of CBRE correspondence.

RESPONSIBILITIES

Business Unit Co-ordinator Duties:

* Providing administrative support to the Business Unit director and Operational client teams
* Preparing and issuing predefined reports for both internal and external customers to deadlines
* Management and Preparation of Business Unit review documentation for presentation to the Board
* Organising/co-ordinating team and contract review meetings
* Developing systems and procedures to improve the overall efficiency of the Business Unit
* Maintenance of Business Unit Directors calendar
* When required, attending meetings to take notes or minutes and ensure follow up action undertaken
* Dealing with queries from site based CBRE staff and clients
* Assisting contract support team (where required)
* Arranging of business unit wide training requirements
* Support on boarding process of new team members in conjunction with BUD/AGM/AD
* Support transitions team with new contract wins
* Be an integral CBRE culture promotor
* Coordination of business unit leadership meetings/initiatives
* Sales team support
* Involvement in RFPs/RFIs submissions
* Support business development manager team with production of sales proposals
* Support with pricing and solutioning sales pursuits
* Sales reporting monthly metrics
* Coordination and participation of BU specific sales meetings
* Projects team support:
* Coordination and attendance of justification and authorisation meetings
* Support the project manager with project proposals
* Coordination of BU specific project meetings
* Undertake any other duties as requested by the Business Unit Director

EDUCATION and EXPERIENCE

High school diploma or general education degree (GED) with a minimum of two years of related experience and/or training.

COMMUNICATION SKILLS

Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to write routine reports and correspondence. Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor. Ability to effectively present information to an internal department and/or large groups of employees.

FINANCIAL KNOWLEDGE

Requires basic knowledge of financial terms and principles. Ability to calculate simple figures such as percentages.

REASONING ABILITY

Ability to understand and carry out general instructions in standard situations. Ability to solve problems in standard situations. Requires basic analytical skills.

OTHER SKILLS and ABILITIES

Intermediate skills with Microsoft Office Suite products such as Word, Excel, Outlook, etc.

Knowledge of Financial software systems (e.g. PeopleSoft, MTA, VAS and I-Track).

Decisions made with general understanding of procedures and company policies to achieve set results and deadlines. Errors in judgment may cause short-term impact to co-workers and supervisor.
