Position Description
Primary Purpose:
Provide comprehensive administrative support for natural gas operation locations.
Essential Duties:
* Assist the area Operations Manager and Supervisor in preparing, tracking, and managing the operation and capital budgets (annual & monthly).
* Contract preparation and administration, issuing of work directives, and verifying proper insurance certificates.
* Inventory management for two locations including issuing, transferring, and auditing stock parts. (Engine, Compressor, Pipe, Fittings, etc.).
* Generate requisitions and handle receiving in the procurement system.
* Ordering, receiving, tracking, and returning materials.
* Maintain and update ERP office manuals and distribute to employees for updating.
* Maintain and support employees with fleet vehicle statements.
* Maintain filing system for both general office and regulatory items such as DOT forms, PHMSA, etc.
* Participate in the safety program and maintain safety training records.
* Prepare invoices and expense reports by entering them into the accounting system.
* Time sheet review within the company timekeeping system, maintain records including tracking of holidays, vacations, short term disability, and other employee time records.
* Support employees in the correct coding of their P-card charges in Works.
* Order and maintain office and janitorial supplies.
* Answering phones, greet on-site visitors and handle other receptionist related duties.
* Monitor security cameras during the day and report any suspicious activities.
* Update local lists of personnel to regulatory agencies, customers, vendors, etc.
* Support meeting planning including booking rooms or hotels and making food arrangements.
* Other related duties as assigned.
Position Requirements
Education:
* High School Diploma or equivalent.
Experience / specific knowledge:
* 3-5 years prior experience in office or administrative duties.
* Familiarity with budget development and cost tracking experience preferred.
* Ability to demonstrate proficiency with Microsoft Office products (Excel, Word, Outlook, and PowerPoint) and other general computer skills.
* Strong verbal and written communications skills.
* Strong customer focus.
* Must keep required work schedule, focus attention on details, and follow work rules.
* Ability to effectively plan, organize, prioritize and complete work with a minimum of supervision.
* Strong analytical and problem solving skills.
* Work in a team environment, take direction from and provide support to multiple leaders.
* Self-starter, able to function well in a multi-task environment to meet deadlines.
Above the minimum requirements, advantageous in this position:
* Associates or Bachelor's Degree in a business related field.
* Intermediate Excel skills.
* Lawson experience.
* DOT and/or general regulatory work experience.
The successful candidate will be required to clear a drug screen and a complete background check, after an offer has been extended and prior to being employed.
Must hold and maintain a valid driver's license and have a satisfactory driving record as determined by Kinder Morgan.
