Responsibilities

The Administrative Services Clerk performs a variety of office support functions and may specialize in one area of office services.

Administrative Services Clerks conduct a combination of activities to support Southwest Risks General Office, Claims, Policy Services, Board Administration, or Loss Control functions.

General Office Support

* Front Door call box reception group
* Customer service answer group
* Mail intake/scanning/distribution
* Outgoing USPS mail and shipping
* Vendor management envelopes, office supplies, online postage account, office machines, shredding, coffee services
* Nameplates
* AED maintenance
* Program invoice coding/submission
* Corporate invoice submission

Claims Support

* First party claim management
* Subrogation and Salvage claim management
* First Notice of Loss intake
* P&C Claim closure letters
* Archive file retrieval
* Electronic file share activities
* WC claimant error billing activities
* WC copy charge invoicing
* Claim expense payments
* Claim correspondence scanning/indexing
* Manual ISO submissions
* Nurse Case Management expense uploading/tracking
* Nurse Triage monthly invoice reconciliation
* Shadow flat fee legal expense tracking

Policy Service Support

* Billing and E-Bill Express customer service
* Premium and Deductible invoicing
* Commuter policy invoicing and aging
* WC and PC premium/deductible aging
* Cancellation notifications
* SharePoint contact management
* WC payroll report/invoicing process

Board Administrative Support

* Website development and content maintenance
* Meeting, Seminar, and Retreat event coordination
* Board materials management
* Board minute and agenda creation
* Public meeting postings
* Email campaigns
* Write and publish Annual Reports
* Brochures and publications

May perform other functions as assigned.

Qualifications

Required High School diploma or GED

* Required Ability to type 40 wpm/96% accuracy
* Required 10-key by touch experience
* Proficient technology skills
* Preferred MS Office
* Proficient organizational skills
* Proficient communication, interpersonal, analytical and problem solving skills
* Preferred Past office experience
* Experienced in fast pace environment

Travel: In-state travel is required for Board Administrative Support.

While performing the duties of this job, the employee is regularly required to be seated for sustained periods of time; be able to pick up, pinch, twist, or keyboard; must be able to communicate detailed or important information accurately; distinguish sounds at normal levels (with or without correction) and be able to receive detailed information orally. The employee is occasionally required to move about the office to accomplish tasks; ability to reach in any direction; raise or lower objects or move objects from place to place; and hold onto objects. Occasionally, the employee may need to move or exert force up to 10 pounds. The employee is regularly required to operate a computer and other office equipment (phone, copier and printer).
