Gilead is hiring an Associate II, Publications Systems and Operations reports to the Director of Publications Operations, who will support the operation and governance of iEnvision, Gilead’s global publications database system. They will assist in the implementation and maintenance of the database as well as help develop training materials and lead training sessions.
This individual will be responsible for auditing the system and running global and regional metrics and ensuring compliance with SOP and good publications practices. This position is located at our Headquarters in Foster City, CA.
Associate II, Publication Systems and Operations responsibilities include, but are not limited to:
Point of contact for iEnvision operations and governance enterprise-wide and resolution of issues with the database
Maintains iEnvision database; assists in internal efforts for vendor enhancements, customization, and maintenance of the database.
Ensure training materials are created and updated and hold vendor and internal training sessions
Run monthly/quarterly/yearly metrics for therapeutic area publications as well as enterprise-wide metrics ensuring the database is up to date with the status.
Assist in the metric reporting for key global scientific congresses ensuring the inclusion of all publications accepted
Responsible for conducting the internal iEnvision audits to ensure compliance with Gilead’s SOP and good publication practices
Responsible for the development and updating of the internal SharePoint site for the centralization of information and forms for internal publications audits
Responsible for updating internal and company-facing SharePoint sites containing the TA publication plans
Additional responsibilities include the following:
Understand the evolving publications landscape through engagement with and participation in professional societies (e.g., ISMPP)
Educational Requirements
Bachelor’s degree in the health sciences or communication field with 4 years related experience OR MA/MS with 2 years experience
Preferred Qualifications
Extensive demonstrated experience in the operation and maintenance of global publication database management (PubSTRAT, DataVision, PubsHUB) gained through working within other biotech/ pharmaceutical companies or a medical communication agency.
Excellent project management skills to deliver in a complex multidisciplinary organization.
Clear and effective communication skills.
Ability to effectively manage multiple stakeholders and projects
Flexibility and adaptability to manage long-term activities in a constantly changing internal and external environment
Experience working globally, cross-culturally, and cross-functionally
Ability to understand and adhere to good publication practices and relevant guidelines on scientific data communication, such as ICMJE, GPP3, and company policy and SOPs
