Job Description

SUMMARY:

The Administrative Assistant to Finance is responsible for providing financial, administrative and clerical services. This includes, but is not limited to, processing and monitoring vendor payments and maintaining an up to date and accurate accounts payable module within an integrated accounting / manufacturing software.  Resolving variances between vendor invoices and purchase orders and receivers will involve professional interaction with plant personnel and vendors. Maintain Fixed Asset reports.          

ESSENTIAL FUNCTIONS:

Backup for creating purchase orders and doing goods receipts for other departments.
Responsible for checking good receipts versus invoices (MR11 and MRBR report) and researching status of discrepancies.
Monitor and assist in resolving SAP Business Workplace (Work Flow) daily and sending invoices to accounts payables with corrections.
Assist with setting up new vendors.
Update Utilities Spreadsheet each period.
Update Waste spreadsheet at the end of each period.
Update Maintenance tracking spreadsheet each period. 
Prepare documents for both internal and external audits.
Participate in plant inventory counts.
Support management by providing timely and accurate reporting.
Various other special projects assigned by management.
SAFETY – Adhere to all plant safety policies and compliance regulations.  Actively participate in the safety process through completing of safety audits, participating in safety projects, identifying Site Hazards and contributing to safety improvements, and being an attending member of a safety team.  Complete annual safety training as required. 

RESPONSIBLE CARE:

           a.    Be aware of the relevant requirements of the Responsible Care Management System (RC-14001) and follow plant procedures to ensure compliance to requirements.

           b.    Understand the RC-14001 Significant Aspects of your job and help ensure controls are in place to reduce or eliminate negative impacts.

           c.    Take actions and identify and communicate ideas to minimize waste, prevent pollution and conserve energy.

           d.    Contribute to continuous improvement of the plant environmental, health, safety, security, and Responsible Care performance and programs.

QUALITY – Become familiar with, understand and comply with Milliken Quality Policy, Standard Operating Procedure(s) (SOPs), relevant ISO 9000 standards and Company Policies that are applicable to this position.

QUALIFICATIONS:

Required:

High school degree with good reading and memory skills; Associate degree in accounting or certified bookkeeper is a plus.
3+ years of accounts payable experience
Strong analytical skills
Computer literate with excellent spreadsheet skills
Demonstrated ability with integrated purchasing, receiving, and payables system is mandatory.

Preferred:

Excellent communications skills
Ability to trouble shoot issues and implement solutions
Ability to work successfully with associates at all levels of the organization, including vendors
