Job Summary: Mesa Energy Systems has an immediate need for a Contracts Administrator at its headquarters located in Irvine CA. This position will coordinate and perform contract administration on federal and state contracts as well as non-governmental contracts and subcontracts.
Principal Duties and Responsibilities:
Maintain contract and subcontract files both paper and electronic.
Maintain and tracks certificates of insurance.
Update and maintain contract information in to a COINS Accounting System.
Coordinate change orders with management personnel and/or government clients
Prepare subcontracting reports using Electronic Subcontracting Reporting System (eSRS)
Receive inquiries from internal and external customers and track for timely responses
Prepare correspondence as required by Contract staff.
Provide assistance in reviewing and reconciling accounts receivable (AR) reports
Organize and conduct meetings as required by staff.
Compile and prepare documentation in preparation for contract closures
Keep current on procurement and contract regulations as codified in FAR and agency supplements
Other duties as assigned
Job Specifications (incl. Education requirements, minimal experience, computer skills required, etc.)
Must have high school diploma or GED.
Must have one year experience in contracts administration.
Must have advance working knowledge of a variety of computer software applications in work processing, spreadsheets, database, presentation software (MSWord, Excel, PowerPoint) and Lotus Notes.
Must have excellent oral and written communications
HVAC industry experience, a plus.
