Job Summary:

The Executive Publicity Assistant provides administrative support to the Freeform VP Communications and the broader Media and Talent Relations team, including overall office organization, coordinating meetings, covering phones, maintaining department press contact lists and news clippings, proofreading press copy, distributing press information internally, and assisting department staff with press events. Maintains timely updates to press information, provides back up to team members for media/press asset requests. The Executive Publicity Assistant will also help draft talent itineraries for press trips, events, etc.

Responsibilities:

* Manage heavy calendar and scheduling/tracking
* Handle phone calls and complete expense reports
* Handle logistics and meeting preparation for internal/external meetings
* Organize flow of information to internal staff and executives
* Provide phone coverage and handle related communication
* Assist executive on all time-sensitive administrative matters
* Maintain client contact list and handle client correspondence
* Coordinate events/offsite meetings
* Special projects as needed
* Occasional domestic travel
* Must be able to work overtime as needed
* Maintain office supplies and fax/copy machine
* Sort through daily mail
* Pull episodic clips and unit photography
* Coordinate staff meetings
* Handle press requests
* Assist team at press events
* Update press & contact lists
* Compile and distribute daily press clippings
* Help draft talent itineraries for press trips/events
* Interact with media & talent relations management
* Interact with Freeform and WDTV management
* Interact with Administrative, intern and other staff

Basic Qualifications:

* Administrative support experience
* Strong organizational skills
* Strong writing skills
* Proficiency with SAP, MS Word, Excel and Outlook; PowerPoint
* Sound work ethic
* Desire and commitment to accept increasingly greater challenges and responsibilities
* Excellent interpersonal skills
* Ability to maintain confidentiality
* Knowledge about the entertainment industry and PR field
* Self-motivated and proactive
* Capable of working within a team environment and independently
