The MeadowsPsychiatric Center is the leading behavioral health treatment facility in Central Pennsylvania. Located just minutes outside State College, PA on a beautiful 52-acre campus, with 119 beds, The Meadows is dedicated to providing comprehensive services to children, adolescents, adults and older adults. We are licensed by the Commonwealth of Pennsylvania Department of Human Services and accredited by The Joint Commission (TJC). The Meadows currently has an Executive Administrative Assistant position available. The candidate selected will be responsible for the following:

Providing administrative support to the CEO and as needed to the CFO, Medical Director and other senior leadership as needed.

Assists with the preparation, submission, tracking and follow up of contracts, post-secondary institution affiliation agreements, and other formal agreements.

Coordinates travel arrangements for CEO, other members of Leadership Team, and occasionally other staff.

Answers and screens telephone calls, refers callers appropriately; schedules and maintains appointments and meeting contacts; supports visitors to the hospital.

Completes operational requirements by scheduling, assigning administrative projects, expediting work results, following up with stakeholders and related.

Performs clerical functions for all assigned committees such as scheduling, minutes, materials preparation & distribution, attendance tracking, room preparations, etc.

Assembles special notices, annual business plans, budget binders and other reports/plans/projects as required by CEO.

Responsible for compliation of and maintenance of hospital wide schedule for conference room reservations and events; monthy hospital calendar; maintain aster schedule for CEO of appointments, meetings and paid time off/vacations.

Coordinating and Supporting as needed required communications during emergency situations according to emergency communication procedures.

Consistently exhibits a professional and polite communication style via phone, email, in-person; as appropriate provides information or answers questions and requests; executes job with excellent discretion, judgment and accuracy.

Reviews and distributes mail; organizes and prioritizes incoming requests to CEO.

Maintain administration supplies inventory; anticipate needed supplies; place orders for applicable suplies.

Carry out all other administrative duties such as filing, copying, typing, binding, laminating, scanning, faxing, etc.

Occasionally cover the reception/lobby phone and desk for reception staff breaks.

Qualifications

This position requires:

* A minimum of a High School Diploma or equivalent; Associate's degree in applicable field preferred.
* Three (3) years of Administrative support experience; administrative experience in health care settig preferred.
* Knowledge/proficiency of pertinent software including: Microsoft Word, Excel, Outlook, Microsoft Power Point and Adobe Acrobat
* Valid driver's license
* Excellent time management and organizational skills
* Outstanding interpersonal communication skills
