Job Description
Summary: This position performs research and produces listing packages for external customers. The customer service representative searches public and private records to compile historical records, which assists Realtors in listing real estate. The individual in this job will already be proficient in other title assistant positions within the department. The Title Officer Assistant will provide direct support for one or more title officers. This includes conducting research, preparing recordings, and handling various tasks as assigned by the title officer(s). This position may also responsible for the maintenance and issuance several low-risk title insurance products.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
* Perform searches on County tax system and Ultima to create chain sheets for properties. Examine documents searched to determine the grantor, the grantee, and the legal description. Provides customer service within company standard time frames.
* Draw and understand complex legal descriptions.
* Records original documents at the County and copies recorded documents for file so that title officers may perform policy write-ups. Verify accuracy of documents to be insured, prior to recording at the courthouse. Logs all recordings into production software for tracking purposes.
* Performs inspections on properties, high-liability properties and properties with new construction.
* Communicate effectively with customers to ascertain what they need, either by phone, in person, or e-mail. Also, communicates frequently with the escrow team and title officer as needs arise.
* Maintain record of all customer requests in a manner that can be readily reported.
* Utilizes Resware, GIS Data Base, and a variety of other electronic tools to accomplish tasks.
* Conduct land/name searches in the Companys title plant.
* Produce and maintain low-risk title insurance products, including but not limited to, various reports and guarantees, and junior loan policies.
* Review documents for recording at the county courthouse.
* Prepare policy write-ups prior to issuing policies and handle post-policy requests.
* Conduct file updates and oversees the delivery thereof.
* Handles requests as assigned by the title officers or department team leader.
* Provides phone coverage for title officers.
* Attend marketing functions from time to time.
* Other duties as assigned.

* High school diploma or general education degree; or one to three months related experience and/or training; or equivalent combination of education and experience.
* Ability to read, analyze, and interpret the most complex documents. Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community. Ability to effectively present information to top management and co-workers.
* Ability to work with mathematical concepts such as probability and statistical inference and to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
* Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
* Ability to solve practical problems and deal with a variety of concrete variables. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
* Proficient use of Ultima, multiple County Tax Systems, Word processing, Spreadsheets, Internet software, E-mail, Order processing, windows, micro-film real machines and fax machines.
