POSITION PURPOSE:

The purpose of this position is to ensure the Mailroom, Print Shop, and Administrative Services operate efficiently. This includes supervision of employees at various times in the mailroom, print shop, and admin services, who ensure the movement of incoming and outgoing mail, shipping and receiving packages, constant & even flow of the Print Shop, and Division reception duties. This position is also vital in facilities move coordination and operational methods, and Life Safety including MRT / Fire Evacuation responsibilities. Manages the UPS billing process and reviews business development for the enterprise. In addition, the position is a first responder to daily campus issues and must be available 24/7/365 in order to respond to facility or employee related matters.

Management level contribution for the coordination of all office moves, additions and changes within Division and some retail operations to consist of furniture, installers, IT/Telecom, electricians and moving companies. This includes: assisting in the creation of RFP's for service providers and managing activities for compliance within the Division campus; the preparation of instructions and schedules for the relocation of personnel and equipment for all office re-configurations, remodels, or office transfers; leading the transfer team and coordinating with the Division Records Department and the transfer company to assemble and transport the equipment, documents and archives shipped to Division due to an acquisition conversion

Manage and evaluate service vendors to ensure high customer expectations are achieved in the day to day operations of the Division campus; analyze service operating expenses for efficiencies and cost savings; and provide assistance during national contract negotiations for courier services and ensure compliance.

Provide supervision, direction, and training to the Administrative Services support staff and monitor performance

Authorize and process various administrative service invoices for payment and requests for office supplies.

KNOWLEDGE AND EXPERIENCE:

Education Level:

* High school diploma or GED required
* Bachelor degree in Business Management or related field preferred

Experience Level:

* Four years of experience in an administrative management position required including experience in purchasing, customer service, business negotiations, excellent knowledge of office workflow and equipment and managing employees including hiring.
* Four years of experience with courier services across an enterprise network, understands service levels, billing and issue resolution.
* Four years of experience planning for the transfer of personnel, their equipment and content within a large campus environment.

* Adaptability and flexibility to reorganize priorities to suit the business enterprise needs.

Proficiency using Microsoft Word and Excel.
