The primary purpose of the Senior Administrative Assistant is to provide advanced level administrative and secretarial support and impact department efficiency and productivity.

JOB SPECIFIC COMPETENCIES
DOCUMENTATION
Processes licensing applications and renewals as required
Maintains Continuing Medical Education Credits (CME) & Institutional CV
Tracks, retains and manages asset transfers create asset forms; assist in annual inventory reconciliation, reports lost or stolen equipment, arranges IT requests and delivery/pickup services
Maintains and utilizes a list of key contacts / resources relative to other disciplines (i.e., Strategic Industry Ventures, Human Resources, Clinic, Facilities, Legal, Compliance, Sourcing Contract Management, Materials Management, etc.)
CALENDAR MANAGEMENT
Coordinates and schedules internal and external meetings, conference attendance and all required departmental hours such as DOD, clinic and proton center coverage.
Ensures accuracy of calendar with special attention to prioritization of key meetings, double bookings, meeting cancellations and comfortable workflow.
Responds to requests for meetings, projects, appointments, etc. and responds to such requests within one business day of initial contact.
Provides scheduling, planning and administrative support for recurring lab meetings. This includes coordinating with attendees, handling meeting location details and logistics, scheduling catering, uploading PowerPoint presentations and taking notes as needed.
DEPARTMENT OPERATIONS
Organizes and manages new hire documentation, including employee personnel files for both new and transferred employees, equipment requests, badge creation, MDA email designation and required application and building access.
Facilitates onboarding for new employees, students and interns including enrollment in correct training, departmental orientation, adding to group email and necessary recurring group meetings.
Composes formal and informal correspondence, mailouts and outgoing shipments, formats presentations, and creates reports, graphs, org charts, etc.
Must be able to use Microsoft suite of programs such as Power Point, Excel, Teams and demonstrate the ability to use proper grammar and spelling while composing and proofreading documents/materials.
TRAVEL & REIMBURSEMENT
Organizes travel and conference attendance. Makes timely travel arrangements to minimize expenses and submits timely reimbursements.
Manages order requests, expense submissions and reimbursements in a timely and accurate manner
Education
Required: High school diploma or equivalent.
Experience
Required: Five years of administrative/secretarial experience. With preferred degree, one year of required experience. Must pass pre-employment skills test as required and administered by Human Resources.
