Position Overview - Basic Functions & Responsibility Essential function(s) includes, but is not limited to:

As a Lead Administrative Associate to the Vice President of New Facility Introduction (Builders) Vaccines, the associate will support project management for vaccine capital expansion and perform advanced administrative tasks. Serves as an effective team member and leader; prioritizes assignments efficiently; combines collaborative strategy and independent follow-through to achieve excellent results.

Primary Activities include, but are not limited to:

* Develops and maintains internal Share Points, Microsoft Team Spaces, and Collaboration websites with the input of stakeholders

* Serves as a resource for developing innovative communication tools and distributions across the Builders organization

* Coordinates special projects within the division/area and function

* Serves as the primary point of contact for VP New Facility Introduction - Vaccines, through phone and e-mail, to assist with information requests and approvals and coordinates with the right individuals to facilitate timely responses

* Serves as a single point of contact for diverse help requests and finds solutions through company resources

* Develops monthly agendas for global leadership meetings with input from leaders and stakeholders

* Organizes and compiles meeting materials, facilitates WebEx meetings, records Action Items, and follows up for completion as needed

* Calendar and Distribution list management for Outlook meetings and communications

* Complete Expense reporting, tracking, and Purchase Order purchasing.

* Organize Off-site meetings. Coordinate all meeting logistics including meeting location, space designation, food & beverage, off-site dinners and teambuilding. Track and reconcile all final spending.

* Coordinates periodic global townhall meetings at sites throughout the network by working with local management, IT, and administrative staff

* Coordinates travel and logistics for local and international leadership meetings and site visits

* Maintains and communicates Management Notification information

* Contacts job applicant candidates and coordinates interviews to aid in hiring talent for the global leadership team and their organizations.

* Provide back up support for Senior Vice President office if needed, working closely with Senior Vice Presidents assistant

Education:

* Required: High School Diploma

* Preferred: Advanced education or certifications such as (e.g. Certified Administrative Professional. Project Management Professional Certification, Professional in Human Resources certification).

Required experience & skills:

* Minimum of (10) years Administrative Assistant experience Advanced secretarial/clerical abilities including advanced proficiency in Microsoft Office applications.

* Advanced computer skills using (MS Outlook, Word, Excel, PowerPoint)

* Experience processing Expense Reports, Purchase Orders, Payment Requests (SAP preferred)

* Extraordinary attention to detail

* Outstanding communication and people skills are necessary for daily interaction with Senior Management

* Ability to work independently and be a self-starter with the strong ability to prioritize
