Key Responsibilities

* Uses extensive knowledge of executives priorities and business practices to proactively respond to daily issues/requests as authorized.
* Maintains individual calendars (electronic). With little executive input schedules/re-schedules/prioritizes appointments and meetings, using knowledge and judgment of executives priorities and business practices/procedures.
* Composes emails, reports and presentation material using appropriate data and software.
* Screens phone calls and emails (if asked). Where possible, immediately deals with issues/requests on behalf of executive (as authorized) and records messages, or forwards calls to the appropriate person/department.
* Acts as point of contact on behalf of executive to route inquiries and actions.
* Researches options and makes travel arrangement, via Corporate Travel department.
* Acts as systems delegate on behalf of executive.
* Coordinates special arrangements, such as tours for visiting VIPs, award ceremonies, large meetings, classes/seminars, conferences including attendee invitations/management, group facilities, food, transportation, and travel.
* Leads efforts related to staff moves, onboarding, offboarding, equipment, and other team member logistics.
* Handles invoices and other basic financial tasks researching and routing bills, etc.
* Executes special research or continuous research and data analysis tasks and prepares reports/recommendations and ensures data accuracy.
* Participates in creating and/or creates departmental procedures and documentation.
* Performs other special project work.
* Interacts and represents the function and company with teams, executives, hiring managers, and third-parties, including vendors, suppliers, and contract resources.
* Handles SOW, NDAs, creation/follow-up on POs, and ensuring that vendors are set-up and paid in the SAP system

* Supports onboarding of new employees/contractors including coordination of badge, computer, space, and other onboarding requirements

* Has comprehensive understanding of a range of administrative policies, processes, procedures, systems and concepts.

Business Expertise

* Has in-depth understanding of how related teams coordinate their efforts and resources to achieve shared and individual objectives.
* Ideally has knowledge of Human Resources or other business support functions.

* May act as a lead for a team and may coordinate the work of others beyond own area. May provide subject-matter guidance to others.

* Resolves problems by identifying and selecting solutions and applying methods, techniques, experience and precedents; exercises judgment within generally defined practices
* Works on problems of diverse scope where analysis of data requires evaluation of identifiable factors
