Your Opportunity
The Specialist, Administrative Support will be a part of Schwab Asset Management Solutions (SAMS). The overall SAMS team is passionately committed to providing solutions that help Schwab clients achieve their financial goals. Schwab Asset Management Solutions (SAMS) is the asset management arm of the Charles Schwab Corporation, and has over $500 billion under management in mutual funds, ETFs, and separately managed accounts. Products managed include a wide variety of active and indexed equity, fixed income, multi-asset, asset allocation strategies, and money markets funds.

This position will provide primary support for department Vice Presidents (2); including the Vice President, TDA Integration and Strategy Asset Management, SAMS Program Office, Business and Regulatory Communications, CSIM Board Management and VP, Product Management as well as back-up support for the head of department.

What you are good at

* Schedule and coordinate meetings, manage calendars, make travel arrangements and reconcile travel expenses, assist with IT issues via National Service Desk.
* Support VP Direct Reports and their team as needed.
* Coordinate team and department staff meetings - manage agenda, technical setup, liaison with guest attendees, schedule conference rooms, order food, etc.
* Set up multi-person interview schedules for candidates, arrange travel, manage expenses reimbursement, and coordinate with Schwab recruiting, as needed.
* Assist with new hire set up/onboarding.
* Quarterly access list review, i.e., distribution lists, shared folders, etc.
* Work with vendor management for invoice processing, check requests, etc.
* Order and maintain department supplies and perform general clerical duties including photocopying, faxing, emailing, and filing.
* Work with other Administrative staff across departments as needed.
* Maintain extreme confidentiality with all aspects of department information.

What you have

* 5+ years of administrative assistant experience, preferably in financial services industry.
* Must be able to work out of the San Francisco office.
* Bachelors degree (preferred), or equivalent experience
* Strong organizational and administrative skills, as well as a high degree of accuracy and careful attention to detail.
* Ability to deal with sensitive and confidential information with diplomacy and discretion
* Ability to manage multiple and changing priorities, while maintaining a positive and professional attitude.
* High level of proficiency in PowerPoint, Word, Excel and Microsoft Outlook.
* Demonstrated excellent verbal and written communication, plus strong interpersonal skills.
* Must have experience interacting with internal and external individuals at all levels, including senior executives, clients and vendors.
* Strong work ethic and a can do attitude; proactive and supportive of team leaders and its members.
* Ability to work under pressure to meet deadlines, including a willingness to work overtime if situation calls for it.
