If your answers are yes, we are looking for you to join our team at Raytheon Missiles and Defense (RMD) in Woburn, MA. We are the System of Systems Modeling and Architecture Directorate, which is part of the Cross Product Team within RMD Engineering. Our Directorate consists of Advanced Capabilities and Architecture and Mission Modeling and Analysis departments.

We are seeking someone to fill the important role of Administrative Assistant to provide high-level administrative support to the ACA Department and Department Manager. As an Administrative Assistant, you will have a key role with a variety of responsibilities that fall within three main categories: Provide direct support to the Department leadership team, provide as-needed support for over 100 employees within the Department and interface with staff across other Directorates within the Cross Product Team.

The Administrative Assistant must exhibit the utmost level of professionalism and use strong interpersonal skills to build relationships with the Directorate leadership team. The Senior Administrative Assistant will maintain a high degree of confidentiality and will need to exhibit discretion when handling sensitive information.

U.S. Citizenship status is required, as this position needs an active U.S. Security Clearance as of day one of employment.

Job Responsibilities:
* Manage calendars, phones and email for the Department Manager
* Arrange appointments and meetings for the Department Manager, while being sensitive toward working across multiple time zones
* Prepare travel schedules/reservations and business expense reports for the Department Manager in a timely manner
* Provide meeting support including reserving conference rooms and off-site venues, coordinating Skype/ZOOM interactions, setting up teleconferences/video calls and arranging catering
* Provide assistance with hiring/staffing efforts, employee transfers and employee separations
* Help ensure seamless onboarding for new employees
* Serve as Directorate Point of Contact for Digital Technologies
* Support employees by answering questions and directing them to the many available resources
* Coordinate employee office moves, including coordinating logistics for transfer of telephone, computer and personal boxes
* Order and track office supplies
* Coordinate visit requests using the RMD Visitor Registry System
* Assist employees with travel arrangements, corporate card information, timecard guidance, and contact information for Human Resources, Digital Technologies, Timekeeping, etc.
* Manage and develop Directorate SharePoint websites
* Team with other administrative assistants to assist where needed to help the departments and directorate with day-to-day operation

Required Skills:
* Documented experience in the following;
* 4 years as an Administrative Assistant
* 4 years using Microsoft tools including PowerPoint, Excel, Word, Outlook, Skype, and SharePoint
* Experience supporting large employee populations, senior leaders and multiple organizational groups
* Time-management and prioritization skills
* Calendar management
* Meeting scheduling and coordination
* Event planning
* Generation of travel and expense reports
* Eligibility to obtain a DoD security clearance
* Must be local to Woburn, MA
* U.S. Citizenship is required

Required Education:
* High School Diploma or equivalent

The Defense Industrial Security Clearance Office (DISCO), an agency of the Department of Defense, handles and adjudicates the security clearance process. Security clearance factors include, but are not limited to, allegiance to the US, foreign influence, foreign preference, criminal conduct, security violations and drug involvement.
