* _Position Responsibilities _*
The Office Coordinator will be the first point of contact for internal and external parties for the office, which may impact customer service, communications and financial transactions.
* Supervision*
1. Delegate and assign work schedule to meet company requirements
2. Develop and adopt a set of procedures for filing and supervise the regular filing and annual cleaning of all old records
3. Ensure incoming and outgoing mail is handled accurately
* Training*
1. Supervise training for employees on safety, compliance, software and procedures.
* Accounting System Coordination*
1. Develop, update, and enhance the accounting system for optimum accuracy, timeliness, and efficiency
2. Assist in the internal auditing and general oversite of transactions by staff
3. Maintain a working knowledge of financial and accounting principles and practices
4. Coordinate with employees and vendors to assure financial data, both hard copy and electronic, is maintained and stored in a safe and secure manner
* Reporting*
1. Supervise the preparation and distribution of reports
2. Report directly and timely any internal review oversite which is outside the expected range of results, errors, inaccuracies, inadequate supervision, inadequate support. In addition, to advise and make recommendations on such matters which will improve and correct the issue.
* Recordkeeping*
_ Maintain_ grain-related records
1. Maintain accurate grain-related records and documents such as:
o Warehouse receipts, Grain settlements, Scale tickets
o Grading and discounts
o Deferred payments
o Grain check-offs
o Priced Later contracts
o Hedge accounts
_ Develop and maintain a working knowledge of grain industry requirements_
1. Comply with rules and regulations of company policy and procedures, auditor recommendations, government agencies and other standards
2. Ensure proper licenses and permits are current and accurate
_ Maintain Office and Company Records_
1. Maintain and store all grain settlement, A/P, /AIR/ and financial reporting documents
* Customer Service*
1. Assist customers as needed with grain purchases and grain settlement
2. Promptly report complaints and compliments to the appropriate manager
3. Greet customers with a friendly smile and a hello
4. Always remember to thank customers for their business
5. Actively develop professional development skills and knowledge
6. Promote customers understanding of and participation in the cooperative
* Other Duties*
1. Uphold all cooperative policies
2. Perform other duties as assigned
