Job Description
The Executive Assistant is a key member of the Coldwell Banker Realty corporate staff and will provide direct support to the President, as well as playing a critical project management role for the local leadership. This position is integral in providing proactive support of initiatives and vision for success for all of Northern California. The Executive Assistant is the key contact for senior leadership and will help execute the needs centered around elevating services, communications, events, and visibility.
Job Duties:
* Act as a liaison and project coordinator for regional events throughout the year. This will require working closely with other applicable departments such as marketing, to ensure that all critical information is communicated to applicable stakeholders and timeframes are adhered to.
* Provide support for President of local operating company (LOC) through extensive calendar, contact and email management
* Manage and coordinate necessary engagement activities for President
* Build agendas, meeting minutes, follow up plans, etc. as needed while being a strong cross functional partner with departments such as facilities, marketing, finance, etc.
* Extensive report generation across multiple platforms on a weekly/monthly cadence as well as Ad Hoc
* Ownership in compiling needs for projects given, work through details, and provide solutions to get desired outcome
* Organize and submit all Travel and Entertainment expenses for President on a monthly basis
* Manage the accounts payable for a variety of regional vendors
* Support Regional Vice Presidents with onboarding of new Branch Managers by acting as a central point of contact with IT, HR, Operations and Communication departments to ensure a successful onboarding and training experience for new leaders.
* Provide editing assistance, drafting and/or direct execution of various company announcements such as new leadership messaging, event follow-up, etc.
* Providing impeccable customer service for our affiliated agent base throughout the LOC. This may involve company communications (writing and delivering), help resolving agent concerns, troubleshooting with operations team, etc.
Other Duties:
* Organize birthday and anniversary recognition each month
* Provide general business support for LOC leadership team
* Board of Realtor/MLS responsibilities
* Other duties as assigned by the LOC leadership
Qualifications:
* 2-5 years of high-level administrative or Executive Assistant experience
* Impeccable customer service skills required
* Positive and proactive approach to work
* Ability to manage multiple, complex request simultaneously, including prioritizing tasks and deadlines
* Attention to detail
* Very strong computer and social media competence with proficiency in Microsoft Office applications; ability to quickly learn company specific systems and business practices
* Focus on follow up to completion and creative problem-solving skills
* High level of integrity, confidentiality and professionalism required
* Excellent verbal and written communication skills required; ability to communicate with different audiences to convey message successfully
* Ability to multi-task, prioritize and be flexible with changing business needs in a team environment as well as manage deadlines and time constraints.
* High level of organization and time management required
* Client focused, delivery oriented, good team member, values honesty and integrity
* Works well independently
* Real Estate experience preferred; experience working in a project management support role is preferred
Work Environment:
* This job is eligible for a flex schedule with some in office and some time working from home.
