FILE REVIEW NEEDED: The selected candidate will be part of a dynamic team of administrators who are the admin focal points for all of the office staff, including investigation, inspection, audit, front office, production and dissemination staff, as well as this team. The selected candidate should have excellent organizational, interpersonal, and representational skills and be able to work with minimal supervision. Equally important, this individual must be customer service oriented and comfortable working in a dynamic, continuously evolving work environment. The candidate will play a role in updating processes and procedures for the office's organizational support structure and mission. The support staff provides the full scope of administrative services for the office giving the candidate significant opportunities for development. The office provides for flexible working hours; however, maintains core hours between 10:00 am and 2:00 pm. While the work is mostly out of a Chantilly office, minimal travel to McLean may be required on a nonfrequent basis for backup duties. Due to the highly sensitive nature of the responsibilities of this position, the successful candidate must possess a high degree of maturity and discretion. Positions in the office require privileged access to a broad variety of sensitive sponsor information and officers are expected to represent the office by maintaining professionalism and discretion.
Given the sensitivity of the office's mission, clearances and accesses are closely controlled and monitored. The contractor will be responsible for ensuring new employees are added to the proper groups, and removed from the group when access is no longer required, and demonstrate independence and a ability to develop a strong working knowledge of access system requests. Proficient in Microsoft Outlook, SharePoint, internal training software. Working knowledge of asset tracking, price estimating, supply and ordering software for the office. Serves as a timekeeper and tracking administrator to provide guidance to staff officers. Organize/plan and schedule meetings, conferences, off-sites, ceremonies, training, and special events.
Maintain excellent working knowledge of travel processes, voucher and other databases required to support domestic and foreign travel for staff. Maintain an efficient office environment by independently ordering supplies, arranging for the repair of office equipment, track and manage work progress and managing our supply budget.
Basic Excel, Intermediate Powerpoint, and Intermediate Word Skills. Strong Outlook for scheduling, maintaining and updating calendars for executive officers. Prior sponsor experience is strongly desired. It is preferred that the AA has experience with Sponsor specific systems.
