We are currently seeking a Project Coordinator to assist in delivering seamless national deployment of multiple CRE technologies for a major client to join our JLL Technologies Program and Project Management Team.
As a project coordinator, youll have responsibilities to keep the program and project processes running smoothly, and keep project data (project tasks, risk log, financials) up to date and accurate. The Program and Project Management team is a client-facing team that specializes in delivery of complex CRE technology projects to JLLT clients, inclusive of change management, training and technology success and adoption.
What this job involves
As a Project Coordinator, you will be directly responsible for
* With direction from JLLT client PMO, maintain team tools (Microsoft Teams, SharePoint, Planner, Smartsheet)
* Maintain location-specific project plans in Smartsheet, gather inputs from vendors and other stakeholders, keep all project plans current. Proactively identify and escalate any issues or risks
* Gather vendor COI and other required forms. Coordinate getting vendor contracts in place with property teams
* Create weekly status reports for each location actively being deployed
* Maintain thorough meeting notes with action items for key meetings, and own follow-up for action items
* Coordinate and schedule training sessions with Property, Security, and Tenant Administrators
* Administer customer satisfaction and user adoption surveys, collect and analyse results
* First line of escalation for property managers tech support for technologies being deployed
* Complete communications updates for each location, customizing logos, links and dates
* Administer customer satisfaction and user adoption surveys, collect and analyse results
* Upon deployment completion, create financial report showing actual cost per location
* Assist in creating Portfolio-level status and financial reporting

* A Bachelors degree from an accredited institution is preferred
* 1+ years of relevant/professional experience related is required
* Ability to thrive in a high-pace environment, and be willing to wear many different hats
* Organizational prowess
* Strong written and verbal communications skills; ability to whip out a solid PowerPoint slide deck with some creative flair a big plus
* Self-motivation and desire to always deliver with excellence
* Experience working in large global organizations with complex technical environments as well as dealing with internal and external customers, service providers and vendors
* Strong customer focus with a demonstrated ability to work seamlessly with business stakeholders, end-users, vendors, and technology teams
* Ability to balance roles in order to drive efficiency and delivery across multiple strategic priorities
* Typically operates independently with general guidance
