GENERAL SUMMARY:

The Distribution Center Specialist performs and maintains a wide range of complex administrative functions in support of the department and assigned program and coordinator. Actively participates in outstanding customer service and accepts responsibility in maintaining relationships that are equally respectful to all. Performs routine duties of the department auditor reconciling invoices and shipments. Providing assistance to purchasing, accounts payable, and substitution for receptionist when necessary. Actively participates in dispute resolution in respect to receipts, shortages, returns, proof of delivery and damaged shipments. Actively contacts vendors, departments, carrier, purchasing and accounts payable. Actively participates in outstanding customer service and accepts responsibility in maintaining relationships that are equally respectful to all.

PRINCIPAL DUTIES AND JOB RESPONSIBILITIES:

Provides administrative support to supervisor including, but not limited to and as applicable, program/meeting coordination, room scheduling, preparing schedules, taking meeting minutes, preparing check requests and payment authorizations, preparing performance evaluations, tracking time and attendance, files and maintains records.

In collaboration with supervisor, collects data and prepares statistical reports and/or rosters.

Utilizes positive, professional communication skills in all interactions: verbal, non-verbal and written. Answers telephone in a courteous manner and refers all calls timely and appropriately. Records messages accurately and routes information in timely manner. Greets customers and employees in a courteous manner. Offers assistance and direction as needed.

Contributes and collaborates in process improvement activities. Supports quality standards and initiatives set by the department.

In collaboration with supervisor, facilitates preparation and execution of educational/department programs, projects and daily activities. Maintains par level of program supplies, manuals, etc.

Prepares and/or accurately executes all necessary paperwork for employees including, but not limited to and as applicable; change forms, time and attendance forms, payroll adjustments, payment authorizations, vouchers and expense reports.

Oversees department cost centers and/or budget to ensure accuracy as applicable.

Networks professionally with interdisciplinary team including, but not limited to and as appropriate; HR recruiters, position control, unit educators, project subject matter experts, directors/nurse managers, campus administrative assistants, legal department contacts, risk management department contacts, and supply chain managers.

Works with accounts payable, purchasing and Hospital departments in resolving problems

resulting from discrepancies between material acquisition and vendor invoicing to

ensure proper payment of Hospital invoices in a timely manner.

Maintains a working knowledge of materials management auditing systems in relationship to Purchasing, Accounts Payable, and Receiving.

Contact vendors as necessary regarding overages, shortages and damages and other related to stock and non-stock issues.

Assist Department Director with all office duties, special projects, takes meeting minutes, and brings suggestions and new ideas for the department.

Provide documentation when necessary to solve future problems.

Assist receiving department with any discrepancy on processing their receipts.

Answer and direct incoming calls as well as assisting the purchasing, departments and Tier 1 requests

Ordering office supplies for the department as needed

Process and follow up work order requests with engineering department and/or AIT as well as entering requisition into the system.

Fill in for receptionist/receiving when required.

Enter requisitions as required by all department.
