As an Administrative Assistant you will be responsible for performing a wide range of administrative support tasks. In this role you will be expected to handle information requests, ensure timely communications, perform administrative functions such as calendar maintenance, travel arrangements, office organization, visitor reception, phone conferences, and meeting and group event coordination. You also will have the opportunity to meaningfully contribute to the smooth operation of processes and activities within the scope of the position.

Responsibilities include, but not limited to:

* Coordinate office remodels and personnel moves
* Enter facility work order requests
* Schedule room and setup for department meetings
* Schedule catering orders
* Schedule security access for visitors
* Order necessary and requested office tools and resources for new hires, transfers, and interns
* Provide back-up to other Administrative Assistants
* Manage and maintain office equipment and supply inventory
* Coordinate supplier training sessions
* Coordinate equipment and access necessary to onboard contractors
* Help coordinate team building activities and expense costs
* Manage contract account ownership assignments in contract management system

Maintain Office Area Efficiency

* Assign and maintain cubicles and offices
* Distribute mail and packages
* Train team members on proper use of area office equipment
* Schedule maintenance and repair for area office equipment
* Arrange and track package shipments
* Act as proxy for area supervisors and managers when needed
* Order office and equipment supplies

Create and Distribute Communication

* Collect input for and edit monthly organization newsletter
* Answer telephones and route calls and messages
* Create, edit and/or distribute department information
* Order Supplies

Coordinate Travel

* Schedule travel for management team members
* Train team members on the travel system if needed
* Process Visa and passport requests

Minimum Qualifications:

* 1-2 year's experience providing general administrative support
* Reliable, good attendance, attention to detail, while remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality
* Excellent communication skills both written and verbal skills
* Strong decision-making capability
* Strong organization skills
* Ability to meet defined deadlines
* Ability to work well without direct supervision
* Associates or Bachelors degree strongly preferred.
