Job Description

JOB SUMMARY
The purpose of this position is to oversee the utility bill administration process and analyze energy usage and spend for a client company with a portfolio of buildings across the US and Canada.

ESSENTIAL DUTIES AND RESPONSIBILITIES
Oversees the bill administration process for all utility accounts, ensuring that consumption and spend are tracked for the purpose of energy management.

Provides energy data processing and energy analysis to examine energy consumption and spend patterns and investigates anomalies and variances.

Acts as key contact to third party bill pay administrators and primary liaison with utility companies. Ensures quality control of the bill administration process and has vendor oversight.

Tracks opening and closing locations and manages the opening and closure of utility accounts as needed.

Works in coordination with team, management, Facility Managers/Technicians as well as other internal and external stakeholders to ensure the accuracy of information.

Works with internal departments, back office service providers and clients for proper bill payment responsibility.

Assists in the development of budget, reforecast and variance analysis processes at regularly scheduled intervals. With the participation and support from the entire team, performs variance analysis monthly and budget & reforecast reports as needed. Supports the Finance team in their monthly accruals process.

Provides financial and analytic reports to management and stakeholders, including YTD spend and remaining-to-spend, invoice receipt-to-payment statistics, billing reports, consumption reports, savings reports, etc. Reporting includes both Excel and PowerPoint deliverables.

Monitors and verifies the activities of utility providers for the purpose of energy management and evaluates that such activities are in accordance with established guidelines for the account(s).

Trains users on how to navigate the web-based utility bill-pay system, Capturis.

Monitors upcoming green building certification projects and ensures they are on track in terms of budgeting and deadlines.

Coordinates the management of the clients energy contracts in collaboration with an energy procurement advisor.

Manages monthly billing for team programs.
With guidance, develops, presents, and/or manages other energy and sustainability initiatives.

SUPERVISORY RESPONSIBILITIES
No formal supervisory responsibilities in this position. May provide informal assistance such as technical guidance, and/or training to coworkers.

QUALIFICATIONS

EDUCATION and EXPERIENCE
Bachelor's degree (BA/BS) from four-year college or university required. Minimum 1-2 years of related experience.

Utility experience with strong financial management and/or technical analysis orientation preferred. Understanding of energy and water efficiency in buildings, energy and greenhouse gas emissions basics, renewable energy, and sustainability certification programs preferred.

CERTIFICATES and/or LICENSES
LEED accreditation preferred. CMVP designation is desirable and familiarity with the IPMVP protocol preferred. CEM accreditation is a plus.

COMMUNICATION SKILLS
Excellent written and verbal communication skills. Strong organizational and analytical skills. Ability to provide efficient, timely, reliable and courteous service to customers. Ability to effectively present information.

FINANCIAL KNOWLEDGE
Requires knowledge of financial terms and principles. Conducts basic financial analysis. Ability to correspond with the Finance team about utility billing, coding, and accruals. Understanding of simple payback, net present value, etc. is also a plus, as the team regularly builds business cases for energy and sustainability programs.

REASONING ABILITY
Strong analytical skills and attention to detail. Ability to work independently and proactively identify/resolve issues. Ability to take initiative and find ways to improve processes for greater efficiency and accuracy.

OTHER SKILLS and/or ABILITIES
Experience in the use of Microsoft applications with proficient-level Excel experience (e.g. using pivot tables, VLOOKUP, conditional formatting, etc.).

Decisions made with general understanding of procedures and company policies to achieve set results and deadlines. Errors in judgment may cause short-term impact to co-workers and supervisor.
