Chevron is accepting online applications for the position through February 8th at 12:00a.m. (PST time).



This position reports to the Sr. Executive Assistant and provides administrative support to the Executive Assistants and the Corporate Officers located on A4 in San Ramon. The Relief Executive Assistant is assigned to Executive Assistant teams to provide back-up coverage and assist with projects when not on relief assignments. This includes reviewing officers' e-mail, maintaining officers' calendars and coordinating meetings and special events, arranging domestic and international travel, composing correspondence, and following up on action items. This position performs assignments with a high level of independence, initiative, discretion, accuracy, and attention to details. As this position provides relief coverage and handles special projects on the Executive Staff, flexibility in adapting to assignment changes and work schedule is mandatory. Confidentiality in this position is crucial. Advanced proficiency in computer skills is required.



Responsibilities for this position may include but are not limited to:



* Handles all Executive Assistant responsibilities for assigned team.

* Manages officers' calendars in Outlook. Schedules and coordinates logistics for meetings and special events.

* Reviews and screens officers' e-mail and incoming correspondence, prioritizing items that need immediate attention and assigning action items as appropriate. Composes replies as needed with proper handling of sensitive and classified materials.

* Coordinates domestic and international travel logistics, including commercial and corporate aircraft travel. Prepares detailed itineraries. Provides background information on meetings and trips. Tracks and coordinates officers' business trip requirements (i.e., passports, visas, immunizations, photos, etc.). Assists team members in tracing and gathering related expenses and compiles expense reports and maintains appropriate documentation.

* Maintains effective communication with officers' leadership teams.

* Ensures requests to the officers are handled promptly. Ensures action items and deadlines are met for various corporate committee-related deliverables.

* Reviews and screens telephone inquiries and takes initiative to handle calls as appropriate.

* Handles special projects as requested.

* Effectively represents the Executive Staff to a broad array of contacts within Chevron and outside organizations. Works well with high-level executives and executive assistants. Maintains effective networks throughout Chevron and outside organizations.



Required Qualifications:

* Minimum of 5 years secretarial and administrative experience.

* Must be able to handle all activities with a high level of confidentiality, initiative and independence.

* Demonstrated ability to take initiative, prioritize and meet deadlines. Ability to multi-task, anticipate needs and requirements, and follow through.

* Demonstrated strong interpersonal skills. Ability to work cooperatively with all levels of management and peers and can readily adapt to the needs of diverse work groups while remaining calm under pressure.

* Ability to effectively communicate (written and verbal) at all levels of the organization in order to convey ideas.

* Strong organizational skills and attention to details are crucial.

* Must possess high knowledge level of various MS office applications in addition to MS Teams, SharePoint and CTREX.

* Must be flexible with work schedule at all times, due to the nature of relief assignments.

* Good knowledge of corporate structure and corporate committees.



Preferred Qualifications:

* Minimum of 5 years executive assistant experiencing providing support to executive level management.

* Relief experience with Executive Staff beneficial.

* Must be flexible. Support provided to different assistant schedules.

* Demonstrated strong current performance.

Relocation Options:

Relocation will not be considered.
