Position Summary:
This Office Manager will provide primary support to our President and Executive Leadership Team (ELT) located at our office in Boulder, Colorado. The ideal candidate will have a high level of initiative, attention to detail, teamwork and professionalism. Under limited supervision, this position provides diverse office administrative support, by performing a variety of routine and non-routine duties.
Major On-site Duties/Responsibilities:
The tasks include, but not limited to:
* Managing day-to-day office operations.
* Assist all departments as needed.
* Answering telephone calls and taking messages, screening and redirecting calls.
* Reviewing and responding to incoming email and distributing mail and packages.
* Support employees with UPS packaging and scheduling pickups.
* Identifying and tracking incoming email requests for to-dos and delivery deadlines.
* Management of work environment to meet business and team member needs.
* Assist in planning and organizing meetings.
* Manage logistics including off-site meetings, booking rooms in 3rd party locations, and incorporating meeting logistics as appropriate.
* Team support in coordination and scheduling of travel arrangements and processing expense reports.
* Team support with administrative tasks.
* May assist with creation of PowerPoint decks.
* Manage and expense office related accounts and purchases.
* Maintain conference room calendars and book meetings.
* Inventory and ordering of office and kitchen supplies, including food and beverages.
* Communicate with property management to schedule building maintenance as needed.
Minimum knowledge, skills and abilities required to be successful in the position:
* High school diploma required.
* Associates or bachelors degree is strongly preferred.
* Minimum 5 years progressive office administration experience-10 years preferred
* Proactive problem solver.
* Manage and communicate on-going projects within the office.
* Technology and social media fluency preferred.
* Ability to manage and set multiple priorities.
* Analytical ability and personal initiative.
* Strong attention to detail and communication skills (oral and written).
* Follow-through and responsiveness.
* Excellent organizational/time management skills.
* Ability to handle confidential information.
* Ability to use good judgement and discretion.
* Knowledge of Microsoft Software.
