Job Summary

Shimmick Construction is seeking a Project Controls Specialist to be based in our San Diego, California location. this position will report directly to the Southwest Business Manager with secondary reporting to Project Manager.

* Typical Responsibilities:

* Manage project office facilities.

* Coordinate, manage and plan meetings when necessary for project.

* Responsible for subcontractor communication through Required Document Package regarding deadlines and compliance on project.

* Produce Sub Pays through Accounting Systems and maintain Project SL Compliance Reporting.

* Maintain Project Status Report.

* Manage Paperless Environment AP Processor for the project: attach receivers, purchase orders and route invoices for approval.

* Provide vendor support in determining payment status.

* Responsible for booking Job Accruals, Job Cost Adjustments.

* Responsible for creating and coordinating Change Order both external and internal when necessary.

* Process Monthly Progress Billings for Subcontractors and Major Purchase Order Vendors.

* Monthly communication to subcontractors to acquire progress requests, necessary releases and compliance documents.

* Maintain Preliminary Notice Log and collection of releases.

* Production and analysis of certified payroll documents for all parties providing labor.

* Collect and transmit Certified Payroll documents to the Owner and Department of Industrial Relations

* Attend Prevailing Wage/Certified Payroll instruction for the project.

* Assist insurance desk with subcontractors / suppliers in order to acquire project insurance requirements.

* Report Project Goals for any Business Enterprise (SBE/DBE/MBE,DVBE etc.) Reporting on a monthly basis to Owner, Project Manager and Sponsor. Responsible for associated workpapers for audit trail.

* Manage and reconcile Job Credit Card through approval process.

* Provide quality control on the integrity of the Document Control System in place for the project.

* Manage document control, office, payroll and accounts payables assistant when applicable.

* Responsible for collection and index of staff timesheets assuring accurate and complete reporting.

* Coordinate projects fuel cards and pin numbers for Wright Express Fuel.

* Coordinate projects cell use for Verizon Wireless and Sprint cell phones.

* Provide training for Viewpoint, Paperless Environment (CMiC June 2019) and company procedures to project personnel as required.

* Maintain all Document Template established for the project. Work with SW Business Manager when necessary to upgrade or initiate new templates.

* Maintain maintenance contracts for office equipment, office supplies and services.

* Participate in projects efforts in mobilization and demobilization of project site as directed.

* Responsible for Project Open Item Issues and coordination for resolution(s) with SW Business Manager.

* Provide appropriate backup as needed.

Minimum Requirements

Education and Experience:

* BA/BS + 4 years of related experience or demonstrated equivalency of experience and/or education.

Preferred Qualifications

* Previous experience in accounting/administration.

* Experience in public works

* Software: Vista: Accounting & Project Management System.

* Paperless Environment: Document Control, AP Invoice Management System.

* Document Control and Accounting Systems: NiceTouch: Time & Material Billing. Microsoft One Drive, Microsoft Pro: Outlook, Word, Excel PowerPoint, Notes, SharePoint. Bluebeam 12. SmartBidNet.

* 8+ years experience is preferred.
