This role is based in New York (787 7th Ave); expectation will be that the incumbent works out of the NY office 3 days per week and the Jersey City office 1 day per week, subject to change based on COO calendar.

Responsibilities: 

Provide high-level administrative support for the COO and serve as the gatekeeper for internal and   external stakeholders
Provide administrative support for the Head of Enterprise Services
Partner with the COO’s Chief of Staff
Heavy calendar management – complex agenda and setting of meetings across all time zones
Schedule and track meetings and support, including weekly Exco, recurring and ad hoc meetings and Board and Regulatory meetings
Domestic and international travel arrangements; expense claims, expedited travel services
Coordinate webcasts, video and tele-conferences as needed
Preparation and coordination of departmental meetings and Town Halls
Plan and coordinate all logistics for internal/external events such as, townhalls, teambuilding events, staff events on-site and off-site, internal workshop learning programs, external client meetings and all other ad-hoc event requirements
Arrange room bookings and catering for meetings
Managing agenda and logistics for visitors 
Management of incoming and outgoing communications 
Modification and distribution of reports, invoices and contracts; ensuring approvals and signatures are secured in a timely manner
Completion of any reasonable projects or tasks, as requested by COO

Minimum Required Qualifications:

Education and Experience

Bachelor’s degree or higher, with a strong understanding of principles and processes for providing customer and executive support services. 5-10 yrs of proven experience as an Executive Assistant, supporting Department Heads or C-level executives

Administrative Skills

Executive level calendar management, meeting management, time management, strategic planning of tasks, complex travel management, expense processing, communication management, and event planning

Exceptional communication and interpersonal skills

A good candidate will be an active listener and clear communicator, both verbally and in writing. They must communicate pro-actively, anticipating the needs of their managers and escalating issues as necessary – utilizing tact and strict confidentiality. Be an excellent team player

Excellent organizational skills

Must have the ability to multitask and prioritize work based on potential impact. An excellent candidate is detail-oriented, flexible and enjoys the administrative challenges of supporting executive level employees.
Demonstrate an in-depth understanding of office and administrative management(Opens in a new tab) procedures and departmental and legal policies.

Technical Skills

Extremely competent in Word, PowerPoint and Excel, and Microsoft Outlook
Exhibit initiative and resourcefulness to get tasks done quickly and efficiently with a high degree of professionalism 

Well organized, flexible and enjoy the administrative challenges of supporting an office of diverse people and programs.
Knowledge of principles and processes for providing customer and personal services.

The expected starting salary range for this position is between $120k to $150k annually. The actual salary may vary based upon several factors including, but not limited to, relevant skills/experience, time in role, base salary of internal peers, prior performance, business line, and geographic/office location.
