Jefferies Facilities Team provide corporate services ranging from furnishing, general office equipment and housekeeping to building maintenance. Jefferies Real Estate Project Management teams provide standards, advice and implementation support on facilities capital improvement projects such as interior renovations, branch relocations, renovations and moves and support tech upgrades.
The Facilities Coordinator (Projects) will work closely with Project Management and Facilities team to support the day-to-day activities in NYC and related satellite locations. The Facilities Coordinator will provide administrative/logistical support to the Project Manager and team, help coordinate project operations and maintenance of project records, interface with vendors, contractors and employees, assist with project implementation under the direction of the project manager as needed and assist in managing employee moves, while supporting the firm’s strategy, goals and objectives.
Job Description:
Respond promptly to project issues and coordinate for project related maintenance, repairs, cleaning needs, etc from end users
Use FM Systems and/or architecture drafting software while coordinating projects with Facilities team, contractor and vendors.
Coordinate vendor invoice process/ Accounts Payable
Assist on various levels of coordinating project contracts such as, signage, carpentry, interior construction, etc.
Create and maintain inventory of project materials and equipment.
Support employee moves and space allocation (pre, during and post move), etc.
Provide remote project support for non- local offices
Manage external vendor compliance with Certificates of Insurance and building rules and regulations
Assist as necessary on implementation of project goals, procedures within firm policies.
Assist in preparing and maintaining RFPs, bid information, and other contract documents
Proactively inspect the Project areas and facilities in general, rooms, common areas, etc., to track issues and resolve as needed.
Participate in meetings related to construction build outs, schedule meetings, take meeting notes, etc.
Ensure final floor plans are filed appropriately and within FM systems.
Must have strong interpersonal and communication skills and ability to work in a team environment
Excellent organizational skills to assist in coordinating multiple projects simultaneously and follow through on various team projects and daily facilities tasks.
Ability to work independently and exercise good judgment with personal initiative.
Adept at building strong internal and external relationships using effective verbal and written communication skills
Qualifications:
1-2 minimum years of experience
Drafting experience preferred
Strong command of written and verbal English
Knowledge of Microsoft Applications (Word, Excel, Outlook) strong technology skills.
Ability to multitask, identify issues and provide solutions
Possess an excellent sense of customer service, urgency, and prioritization
Must be able to work on a team and autonomously
Proactive, self-motivated, ability to learn in a dynamic, fast paced environment
Sitting, standing, and walking from various buildings are requirements for this position
