Booking Holdings Inc. is looking for a Coordinator to join our growing Compliance & Ethics Operations Team. This position will report directly to the SVP, Global Compliance & Ethics Officer and also provide support to the other team members. This role is multi-faceted and this person must be highly organized, motivated, results-oriented, and have a strong attention to detail. In this role, you will be interacting with all levels of the organization in a fast- paced high-tech environment. This person will seek ways to improve processes and help the department function more efficiently and effectively.
Responsibilities and Duties
Supports several department platforms under direction of manager: DocuSign for electronic signatures, Navex for regulatory inquiries, Serengeti e-billing tracker system, Conflicts of Interest Disclosures, GEMS for Global Legal Entities, Contracts Database and Concur for T&E expenses.
Maintain Global Department Roster, Global Email Distribution lists, coordinate annual swag items, send welcome package emails to global new hires and monitor/track document repositories.
Act as main coordinator to schedule and coordinate complex meetings in global time zones. Create Agendas, drive action items and ensure all meetings run smoothly. Coordinate global summit and off-site meeting events/dinners, track attendees and release surveys pre and post meetings.
Support SVP in calendar management, meeting/conferences set up and expense reports. Proactivity reviews upcoming schedules, events while anticipating potential conflicts, ensuring critical projects and goals are successfully accomplished, and taking appropriate action to produce desired outcomes.
Manage and track all invoices from vendors/law firms and upload into the Serengeti Tracker System.
Assist the department in creating presentations, reports and other materials to communicate effectively within the Global C/E team and the company. Prepare, collect, collate, and distribute materials for key meetings and events. This includes follow up and outcome tracking e.g. taking notes, tracking and following up on action points, as well as ensuring logistics run smoothly.
Welcome guests as they arrive at our office in a warm and hospitable manner and assist guests with all check in procedures.
Qualifications
Bachelor’s degree or higher from a four-year college or university;
3 to 5 years work experience in a corporate legal department or law firm preferred.
Ability to communicate clearly and concisely in written and verbal form;
Excellent interpersonal skills and ability to interact well with other associates at all levels;
Motivated with the ability to work effectively both on your own and as part of a team;
Ability to responsibly manage highly confidential and time sensitive information.
Excellent time management skills required.
Highly organized with attention to detail with ability to take ownership, set priorities, and meet deadlines in a dynamic and fast-paced environment;
Analytical and problem-solving skills. Must have a flexible and positive attitude and maintain a high degree of professionalism.
