Job Description

Basic Function

Located in Plymouth Meeting, Pennsylvania, the Marketing Account Representative provides support of all elements of the lubricants order-to-cash process under general supervision to support sales of lubricant products to Company customers.  Responsible for consistently providing a high level of service to our customers and finding opportunities to improve our processes while handling and expediting customer orders and inquiries.   

Job Duties

Works closely with one or more marketing sales managers to assist them in managing their territories and product lines, communicating leads with marketing
Provides daily customer service acting as the primary point of contact, providing strong service for key accounts with daily communication and support to lubricants customers
Ensures that all price requests follow established approval processes and validates current pricing as applicable to Customer Service transactions
Interfaces with customers, credit account managers and sales managers regarding account status and transactions
Receives, expedites and accurately processes to completion all sales orders to meet customer expectations
Maintains customer files and all associated records and validates customer information is set-up accurately and that timely updates are completed accordingly
Reviews daily open order reports and follows up on pending orders
Communicates with Credit Department for release or hold of orders
Determines capability of meeting customer special instruction requests and responsible for entering and updating this information on customer master records
Validates orders meet established shipping guidelines and manage variations with customers
Manage customer deliveries and coordinates schedule and shipment details with fulfillment, distributors, sales, terminals, refinery operations and supply & distribution; determines optimum ship location
Prepares and sends response letters for blanket purchase order acknowledgements 
Communicates with other departments to ensure customer requirements are met
Manages order changes or cancellations
Tracks all orders from scheduling to delivery to invoicing 
Manage post-sale inquiries for pricing, logistics and shipping documentation, assisting in resolving invoice discrepancies, and processing credits/rebills
Fulfills on-call responsibility on weekly rotation for emergency requests, handling the call to resolution and completing on-call report
Follows all applicable ISO processes to ensure company's financial and operational, safety, quality, and integrity requirements are met  

Special assignments or tasks assigned to the employee by their supervisor, as determined from time to time in their sole and complete discretion.

Experience

A minimum of one year of experience in sales administration.  Specific experience in sales support preferred. 

Education

A minimum of a High School Diploma or equivalent is required.  A Bachelor's Degree in Business Administration, Marketing or related field preferred. 

Required Skills

Strong organizational skills; adept at time management and multi-tasking. Proficient with MS Office Products and applicable mainframe applications (e.g. SAP). Good interpersonal skills and ability to effectively communicate with others, both written and verbal communication; advanced reading and writing skills with the ability to perform intermediate mathematical calculations.

Supervisory/Managerial Responsibility

None.

Work Conditions

Office based with up to 5% travel by land and air required. Subject to all weather and varying road conditions.  Remote work option available on Fridays. 

Physical Requirements

Job conditions require sitting, talking or hearing, making visual inspections, making precise finger and hand movements, reaching or grasping, perceiving color differences. Job conditions may require standing, walking twisting, stooping, crouching, kneeling, lifting and/or carrying up to 10lbs, pushing and/or pulling up to 10lbs, and climbing up to 3ft
