Job Description

Requirements:

DUTIES AND RESPONSIBILITIES

Provide assistance to staff on routine invoice processing matters. (EF)
Assist with training of new, temporary, or contract employees. (EF)
Develop in depth knowledge of the AP and Purchasing computer systems to provide assistance to management. (EF)
Provide support and backup coverage during staff employee absences. (EF)
Identify, report to management, and resolve problem accounts with the assistance of the processor assigned primary responsibility for the vendor. (EF)
Maintain files required on assigned vendors. Files may include purchase orders, receiving documents and/or invoices.
Respond to vendor and departmental inquiries on a timely basis. (EF)
Obtain, review and timely reconcile vendor statements to AP payment records. (EF)
Match invoices with proper purchase order and receiving documents.
Verify that quantities and prices conform to purchase order. Resolve discrepancies by interacting with Materials Management, the ordering department and/or the vendor.
Code invoices processing stamp accurately; highlight all fields to be keyed by data entry. Batch invoices, attach adding machine tape and forward to data entry.
Assist Disbursement Auditors when necessary
Check all extensions and addition on each invoice and correct if necessary. Subtract any taxes or freight not applicable.
Process invoices for payment promptly in accordance with the terms for each assigned vendor.
Perform other job related duties as assigned.

Qualifications:

EDUCATION REQUIREMENTS

High School diploma or GED required


EXPERIENCE REQUIREMENTS

Five or more years lead Accounts Payable experience.

Good leadership skills. Good written and verbal communication skills.

Knowledge of Excel, accurate use of 10 key calculator by touch.
