The Administrative Assistant performs a variety of administrative functions supporting a Department Director or Senior Director. This position provides assistance utilizing secretarial support skills to maintain departmental operation.
The Assistant is responsible to the Administrator/Manager for all of the duties and responsibilities listed above and for other duties that the Administrator/Manager may assign during the duration of the employment. Because of his/her involvement in matters related to their responsibilities the Assistant would also be required to communicate frequently with other Directors.
Primary Responsibilities
* Schedules and coordinates appointments, meetings or conferences for departmental personnel utilizing interdepartmental and/or hospital wide computerized scheduling systems
* Prioritizes calls through screening process, transfers calls, records messages, and delivers to appropriate personnel
* Coordinates special projects as instructed, composes memos, transcribes notes, and researches and creates presentations
* Generates reports, handles multiple projects, and prepares/monitors invoices and expense reports
* Takes and/or transcribes minutes at meetings
* Reviews and distributes daily mail correspondence to appropriate personnel
* Maintains up-to-date departmental manuals and files
* Meets both department and individual goals. Be familiar with functions of the Manager so as to enable them to assume the duties of the Manager in their absence
* May be called upon to assist with special projects and assume responsibility for the development, administration, and promotion of specific projects, as required
* Perform other duties as assigned

Required Qualifications
* Associates degree
* Knowledge of computers specifically, experience in Microsoft Office
* Able to work a flexible schedule

* Experience utilizing a pleasant telephone manner
* Ability to &ldquothink on your feet&rdquo when dealing with callers
* Customer service oriented &ldquocan do&rdquo approach to work
* Superior organizational skills and accuracy
* Excellent problem solving and people skills
* You will be asked to perform this role in an office setting or other company location
