Position Overview:
A key leader of the Payroll team that will help direct and lead payroll and expense management practices within the company and will ensure accurate processing and recording of company’s payroll. Providing, timely and accurate financial information, participate in weekly time card & expense review, audit and processing will be key responsibilities of the role. This person will assist in the development and enhancement of policies and procedures and the Novasyte Payroll function. Being detail oriented and having a strong desire to investigate and solve problems are critical to this role. Position Responsibilities:
• Preparation, processing and reconciliation of weekly payroll for employees across the U.S. and Canada
• Responsible for supporting the partnering and coordination efforts between payroll, human resources, finance and operations to ensure proper flow and maintenance of employee payroll and expense reporting.
• Strong experience managing through complicated payroll scenarios including multi-state, blended overtime, and expense management.
• Monitor setup of each employee including validation of each employee’s charges and adherence to all FLSA pay practices.
• Oversight and adherence of all sick time law compliance across the U.S.
• Manage workflow to ensure all payroll transactions are processed accurately and timely.
• Review and audit timekeeping records maintained in ADP Workforce Now in the US and ADP Canada Workforce Now with established standards and company policies and procedures.
• Review, process, reconcile expenses to timecard and release for payment / reject electronic expense reports in expense management system during the weekly payroll approval process.
• Responsible for audit and direct follow up with employees regarding violations of policy, resolution of issues, or questions regarding the expense management program.
• Compile, compute and post payroll data, reconciling errors as needed.
• Process 401k files for deferral and loan changes.
• Process correct garnishment calculations and compliance.
• Process accurate and timely quarterly and year-end reporting when necessary (W-2, T-4’s, etc).
• Prepare reports by compiling summaries of earnings, taxes, deductions, leave, disability, and nontaxable wages.
• Assist in maintenance and development of payroll guidelines by writing and updating policies and procedures.
• Maintain employee confidence and protects payroll operations by keeping information confidential.
• Provide superior customer service to users in resolving various issues related system and expense reporting.
Preferred Skills/Qualifications:
• 4-6 years of recent and relevant experience in payroll function handling
state, local and federal tax issues for a multi-state employer, international
payroll experience a plus
• May require an associate’s college degree or equivalent on the job training
beyond high school, CPP a plus
• Demonstrated experience with multi-state processing
• Must be able to handle all aspects of payroll with a high degree of
autonomy
• Working Knowledge of best payroll practices and federal and state
regulations
• Experience using ADP Workforcenow or similar payroll processing
software
• Flexibility in responding to unanticipated situations
• Excellent time management and multi-tasking skills
• Solid customer service skills and ability to handle highly
sensitive/confidential information
• Organizational skills and attention to detail
• Proactive approach to problem solving
• Strong work ethic and willingness to take ownership
• Strong sense of urgency, initiative and drive
• PC skills in Windows environment (Word, Excel, PowerPoint, and Outlook),
experience with Egencia and/or ChromeRiver a plus
• Ability to use a standard computer, talk on the phone and sit for extended
periods of time
