Selected candidate will perform a wide broad range of administrative and office duties supporting our Lockheed Martin RMS Honolulu, Hawaii location. The position will be the sole administrative person and will support executive leaders, as well as, special site projects such as; vendor liaison, IT and Facilities coordination, procurement activities including tracking of material and inventory, and responsible for all spaces/conference rooms to include scheduling & support of all visitors and events for high level internal and external customers. Candidate should possess a proactive approach to all tasks assigned and be able to operate independently and also within a team environment. The position requires a DoD Secret clearance and will collaborate with security personnel.
Basic Qualifications:
- Seeking reliable individual who possesses the ability to operate in a complex environment in an independent manner.
- Experience with high level executive site visits including military ranking officers.
- Selected candidate should have a DoD Secret clearance level to perform duties in a classified environment.
- Multi-tasks efficiently in a fast-paced, multifaceted work environment and support unforeseen requests from all levels of management including corporate officers and high ranking military personnel.
- Assists management with coordination of critical tasks with a proactive team approach and a can-do spirit.
- Should be proficient in the full complement of Microsoft Office Suite and possess skills to compose correspondence and create presentation slides deck.
- Ability to learn company specific systems at a fast pace and resolve priorities to handle tasks efficiently and expeditiously.
- Provides complete and concise results on all tasks including regular updates and statuses to ensure progress to deadlines. All correspondence should be accurate, complete and properly handled.
- Maintains conference room calendars, arranges meetings, makes travel arrangements, completes expense reports in support of leaders.
- Performs additional special assignments, as required, in support of site goals and achievements including but not limited to, Shipping and Receiving needs, vendor management, material procurement & tracking, IT coordination, Facilities & Space requirements, classified construction coordination, security actions, etc.
Desired Skills:
Possess excellent interpersonal skills, both oral and written, and the ability to work well with all levels of internal and external management and staff.
- Demonstrates a professional presence as the liaison of several different functions at the site, as well as, the first point of contact for a variety of corporate executives and external military officers.
- Advanced level of competency required for Microsoft Outlook, PowerPoint, Excel and Word to manage multiple personal and site calendars, and to assist with completing a variety of in-depth reports that are presented to upper management.
- Advanced experience with SharePoint, Box and Slack is preferred.
- The ability to handle confidential and sensitive information with the utmost discretion.
- Must be flexible and able to work independently and execute projects with minimal supervision.
- Self-motivated and able to multi-task and complete assignments accurately and on time.
