The Project Support Specialist is responsible for supporting the Project Management team in the implementation of mid to large scale solar installation systems. This position may assist multiple project managers in successfully managing projects and/or provide administrative, material planning, logistics, and purchasing support to the Commercial Construction. Additional responsibilities may include tracking, receiving, and documenting all material shipped to/from a site.
Responsibilities
Support Project Managers in:
* Preparation and maintenance of project budgets
* Administration of subcontractor bid packages and the drafting of subcontracts. Assist with the creation of purchase orders
* All Project set-up tasks including project set-up in JDE and Procore
* Weekly/monthly project reporting including; budgets, project status,
* Weekly owner and project meeting minutes
* REC and subcontractor invoices
* Track and manage Insurance Certificates and Submittals utilizing Procore;
* Coordinate project meetings and write/distribute/maintain minutes utilizing Procore;
* Support the field construction team, including superintendents;
* Assist with general project coordination;
* All Project Close out tasks including but not limited to creating Owners Manuals, project close out checklist items at the end of the project utilizing Procore;
* Perform various administrative tasks such as scanning and mailing of documents, coordinate; travel arrangements, and contribute to basic office support as needed.
Support Construction Superintendent in:
* Job-site demobilization
* Arranging meetings with client representatives, building officials, sub-contractors, or vendors.
Perform various administrative tasks including:

* Attending meetings and write/distribute/maintain minutes
* Set up, organizing, and maintaining the job site offices, stores, and other facilities, ensuring posting of all company, health and safety, and legal notices.
* Prepare and submit timesheets and expense reports
* Coordinate receipt and disbursal of payroll and per diem checks
Responsible for project set up and close out, including:
* Implement project setup procedures in both our accounting and project management software.
* Generate job cost reports utilizing the Companys JDE accounting system.
* Gather required approvals for invoices for processing through the A/P.
* Create Owners Manual at the end of the project
Responsible for all on-site construction material, equipment and supplies, including:
* Receiving, documenting, and storing all on-site deliveries received from suppliers, vendors, and REC Warehouse.
* Coordinate loading/unloading teams for large delivery events, including modules, inverters, and balance of system (BOS).
* Verifying and coordinating receipt of material with Project Manager to ensure timely progress payments.
* Control issuance of all materials and tools to on-site construction personnel.
* Maintaining all temporary job site equipment and facilities, site services.
* Itemizing, documenting, preparing unused material and coordinating their return to vendors and REC Warehouse at job close-out.
* Coordinating return material and tools shipments with Logistics and Resource Coordinator.
* Track all non-Bill of Material (BOM) purchases on material tracking tool.
* Control and issue Field Purchase Orders (FPO) for all local purchased material
Basic Requirements
HS/GED and 2 plus years work related experience.

Additional Preferred Qualifications
* Effective communication skills across all levels and departments of the organization, customers, vendors and subcontractors
* Previous Construction or related industry experience.
* Experience with project or cost accounting is a plus.
* Ability to work well under pressure
* Ability to work independent of direct supervision
* Decision Making & Problem Solving: Capable or working independently and resourcefully in challenging construction site environments and must have good cost-control decision-making abilities and judgment.
* Be flexible and able to prioritize and complete a variety of simultaneous tasks with a high level of organization
* Detail oriented with the ability to understand key business concepts
* Possess a positive attitude with strong interpersonal skills
* Ability and willingness to learn and adapt quickly to rapidly evolving business processes
* Thorough understanding of Microsoft Office Suite (Word, Excel, Outlook, OneNote)
* A background in project administration, project management or construction management, preferred.
