JOB SUMMARY:
Reporting to, and under the direction of the Domestic Sales Supervisor to perform various customer service and support assistance as required by our customers and outside reps including but not limited
to taking calls, resolving issues, generating quotations, order entry, troubleshooting, problem resolution, returns, credits, maintaining customer files, and other order entry procedures. This
pertains to all products( Anthony, Ardco & Displayrite), and properly directing customers for assistance regarding Pike products. Special projects might be required in addition to normal workload
as directed by the Domestic Sales Supervisor.
ESSENTIAL DUTIES AND RESPONSIBILITIES: (Other duties may be assigned)
* Responsible for responding to customer telephone calls, faxes & e-mails.
* Responsible for entering quotations into computer and forwarding to customer and or AI rep.
* Responsible for entering orders accurately, obtaining ship dates, releasing orders and sending required confirmations.
* Responsible for responding to voice mail, faxes and e-mail messages within 24 hours.
* Responsible for generating and sending confirmations of quotations and orders within 24 hours.
* Responsible for resolving customer issues related to AI products or orders.
* Responsible for notifying specific sales rep groups regarding credit issues.
* Responsible for updating assigned customers text notes as needed regarding (pricing, shipping instructions, customer model specs and information, sales rep instructions, etc.).
* Responsible for maintaining customer part numbers (as applicable to customers).
* Responsible for interacting with other departments (credit, shipping, traffic, production, scheduling, sales engineering) as orders require.
* Responsible for all other duties as assigned by the Domestic Sales Supervisor, or Customer Assistance Manager.
Key Competencies:
REASONING/COMPLEXITY OF DUTIES - Must understand the necessity for maintaining accurate & current files related to products, customers and pricing, as well as accurate order entry. Must have good problem resolution skills to make decisions related to customer issues.
EFFECT OF ERRORS - Effect of errors can be enormous, as the accuracy of order entry is critical to the customers perception of the quality of after sales service provided by AI, as well as the profitability of the company.
CONTACTS WITH OTHERS - Must be capable of communicating effectively and maintaining professional conduct with all levels of the organization as well as third parties.
CONFIDENTIAL DATA - Employee will have access to Company confidential information and must be responsible enough to protect such information.
* TOOLS AND EQUIPMENT SKILLS - Personal Computer, calculator, fax machine, copier and other general business office equipment.
* SUPERVISION RECEIVED - Employee must be capable of performing their responsibilities with minimal supervision.
Education:
High school diploma or GED. Minimum of Associates Degree or some College coursework preferred.
Experience:
Three or more years of experience in customer service or sales is required.
The ability to multi task is helpful but not required.
Computer Skills:
Employee must be an experienced user of Microsoft Office software (Outlook (e-mail), Excel, Word and Powerpoint) and capable of learning other personal computer applications (AS400 a plus).
Communication Skills: (Writing, Foreign Language, Reasoning)
* Must be capable of reading, writing and speaking the English language effectively.
* Must be able to communicate information and instructions in writing to members of the organization and third parties professionally and free from grammatical errors.
In performing the duties of this position, the employee is frequently required to sit and talk or hear. The employee is occasionally required to walk; use hands to finger, handle, or feel objects, tools or controls; reach with hands and arms; climb or balance; stop, crouch and kneel. Occasionally, the employee may have to lift and/or move objects up to 25 lbs. Vision requirements include close, color and peripheral vision.
