Job Description

This role will provide support to Liberty Mutual's Chief Compliance Officer and the management team. The essence of the role is to enable the customers to be more productive with their time and work as efficiently and effectively as possible.

The Executive Assistant must be able to multi-task, be mission and solutions-driven, and execute their responsibilities in a very fast-paced and global environment. The ideal individual should exercise good judgment, strong attention to detail, be resourceful, and possess top-quality administrative, organizational, and time management skills.

The Executive Assistant should possess the ability to work independently with good judgment and decision-making capabilities while maintaining discretion with handling confidential information.

Responsibilities

Schedule & Support: Identify administrative needs and develop appropriate solutions. Handle a broad number of administrative duties, including managing one or more active calendars, including proactively managing schedule conflicts, delays, or cancellations; completing expense reports; flagging important correspondence for the SVP immediately; arranging complex and detailed travel plans including itineraries; creating agendas and compiling documents for meetings. Coordinate and manage quarterly meetings, townhalls, off-sites, and events.

Communication: Excellent verbal and written communication skills. Partners with leaders to maintain strong communication with teams, compose and draft correspondence, and make suggestions on content or format.

Computer & Technical Skills: This role requires a strong ability to understand new technology and be comfortable setting up virtual conferences (coordinating video and audio conference calls), file-sharing systems, and a high level of comfort utilizing MS Office Suite (Word, Excel, PowerPoint, Outlook). Also, liaises with technical support on electronic, equipment, and phone networks and helps procure laptops, office supplies, office space, etc., and manages the procurement process, including researching and processing invoices.

Operational Excellence: Partner with other administrative staff to streamline office operations and maintain organization while building rapport with stakeholders. With a high degree of self-reliance, problem-solving, and addressing customer needs by utilizing available tools appropriately. Supports a culture of continuous improvement by sharing ideas to improve service delivery and assimilate process improvements into work.
Qualifications:
* Knowledge of administrative procedures, software applications MS Office Suite (Word, Excel, PowerPoint, Outlook, Teams), records management systems, and other business procedures and terminology.
* Excellent organizational skills, time management skills, and attention to detail, including regularly anticipating needs and being proactive.
* Displays a high degree of professionalism in order to maintain confidential information, deal with people tactfully, and help establish strong relationships and positive communication.
* Excellent ability to read and respond to subtle clues and react with situational appropriateness.
* Associate`s degree (or equivalent) and five years of relevant administrative experience, including prior experience providing support at the management level preferred.
