The position performs complex administrative activities in close relationship to the day-to-day work of the Central Engineering Services department. The Senior Administrative Assistants will work in a confidential and highly responsive relationships with department leadership. The position available is located in Cedar Rapids, IA.

Primary Responsibilities:

* Provide administrative support to staff and respective departments. Typical support tasks include scheduling meetings, arranging domestic and international travel, expense report preparation, and maintaining department calendars.

* Assist management by managing calendars and making priority decisions to resolve schedule conflicts, monitoring email communication and highlighting urgent matters requiring attention, preparing activity reports and leadership engagement opportunities, and coordinating department meetings.

* Serve as the focal point for the teams, such as scheduling meetings, coordinating food orders, tracking morale budgets and providing other administrative assistance.

* Help in administering the department ALM/Teamspace sites, including site content updates, user access, and assisting users with questions.

* Interact with other administrative assistants collaboratively to share knowledge and schedule activities with senior leadership across the business, including resolving schedule conflicts as executive calendars change.

* Proofreads typed data ensuring proper spelling, punctuation, and grammar usage; may perform minor document revisions to ensure clarity.

* Establishes, maintains and revises departmental files and readily identifiable control files for matters in progress.

* Receives and prioritizes telephone calls, business visitors, and incoming mail; routes mail and inquiries to proper personnel.

* Maintain calendars, schedule appointments, arrange departmental meetings/conferences, and attend meetings to take notes.

* May track and maintain departmental budgets and assist management in determining budget requirements.

* May prepare materials for departmental meetings.

* Interfaces with personnel from numerous departments and possible external contacts to exchange information requiring limited interpretation or discussion.

Basic Qualifications:

* High School Diploma or AA/AS degree or other 2-year post high school training with a minimum of 2 years of relevant experience



Preferred Qualifications:

* Previous experience as an Administrative Assistant.

* Proficient with MS Office, O365, and the Google Suite of products.

* Experience with Concur, Ariba, SAP, is preferred
