In this role as a Senior Manager within Global Banking & Markets Records & Information Management, you will support and enhance the development and maintenance of Scotiabanks Records and Information Management initiatives, framework, Policies and Procedures and its adherence to applicable regulatory requirements and expectations.
Is this role right for you?
* Assisting in the development of, compliance with, and implementation of the Bankss records management Framework, Policies, Procedures and Guidelines in coordination with Compliance, Technology and Record Owners
* Assisting in the interpretation of existing, new, or potential records management statutes, regulations, or other legal requirements impacting the Bank
* Establishing and ensuring maintenance of Records Inventory appropriate to the Banks activities and in compliance with the applicable regulatory requirements
* Assisting staff and regulators with requests to locate and retrieve information
* Assisting in the training of internal users on Records Management systems and processes
* Participation as a member of the Records Management team to innovative and create ways to identify, retain, retrieve and dispose of records in an efficient and effective manner
* Ensuring that processes and procedures are in place to address functions that may include the transfer of records, records storage and retrieval, development and update of records schedules, management of litigation holds or records freezes, and administration of internal program evaluations, including performance measurements (KRIs and KPIs)
* Creating and maintaining dashboards and reports for GBM senior management and executive committees, including KRI, KPI and other operational risk metrics in collaboration with stakeholders
* Coordination with Technology to ensure systems adhere to records management security, retention, retrieval and disposition policies and regulatory requirements
* Maintaining, improving and implementing control processes across GBM with a focus on recordkeeping requirements
* Coordination with stakeholders and Internal Control on periodic testing and validation of recordkeeping requirements
* Acting as the escalation point for incidents related to recordkeeping requirements, investigate and develop remediation plans and track through to completion
* Conducting comprehensive reviews, analysis and investigations of operational process and control breakdowns of recordkeeping requirements and incidents with potential regulatory impact
* Supporting a customer focused culture to deepen client relationships and leverage broader Bank relationships, systems and knowledge
Do you have the skills you need to succeed? We'd love to work with you if you have:
* Knowledge of Records Management regulatory standards and legislation relating to the current trends and management of records
* Demonstrated use of an Electronic Document Management System (EDMS) would be desirable
* Proficient in the use of computers and computer software relevant to the position
* The ability to plan and manage time effectively and prioritize workload particularly in being able to manage multiple enquiries simultaneously
* Strong written and verbal communications and inter-personal skills
* Well-developed problem-solving skills
* The ability to work as part of a team
