Position Overview

The administrative assistant will provide exceptional administrative partnership and support to the Global VP Supply Chain as well as members of their team.

Candidates must have considerable experience and success in working with executives and key internal and external stakeholders in a fast paced, high volume, high standards global /multi-cultural environment. Candidates must be self-motivated and demonstrate administrative leadership skills to provide required support.

Candidates must ensure the protection of confidential and sensitive information and possess strong communication skills and business etiquette. They will frequently interact with internal executives and associates, and US and international external stakeholders to ensure first-class treatment for the Company's special guests, including government stakeholders.

Candidates must also have a demonstrated proficiency for collaboration, attention to both big picture & details and strong organizational skills.

Function Related Activities / Key responsibilities:

* Calendar Management: Calendar management can be highly complex due to the volume of meetings and international participants;

* Manage all T&E expenses: for the Policy/Env/Social Impact team (expense reports);

* International Guests & Meetings: Manage visits & logistics of international visitors, including senior government officials (ministers, heads of state, heads of government) using the appropriate protocol to make guests feel welcomed and special; Act as protocol resource to executive offices.

* Meeting coordination: coordination and execution of all aspects of small, medium and large events : team meetings, public events hosted by the Company for government officials et cetera;

* Develop & Maintain document tracking systems (paper and electronic) to document responses to incoming requests to senior leadership as well as to ensure the relevant storage of and access to information. Team Assistant:

Education: High School Diploma or equivalent

Related Work Experience: At least 5 years relevant work experience including advanced administrative experience

Technical Skills:

* Data and Systems: Possess the knowledge and skills required to access and collect data via Company approved technologies/databases or the internet. This includes the ability to complete electronic forms, produce reports, conduct investigative research, explain data and communicate results. This includes maintaining current knowledge and keeping up with new releases.

* Technology/ Tools: Working knowledge of specialized databases, systems, and communication mechanisms (KO Buy, Concur Travel Management, Flex time, E-Time, Link, SAP, etc.). Advanced knowledge of Microsoft Word, PowerPoint, Excel, and Outlook.

* Etiquette & Protocol: The ability to effectively communicate with others via telephone and/ or in person in a professional and helpful manner while building credibility and rapport. Basic understanding and willingness to learn about diplomatic protocol standards and procedures regarding flags, precedence et cetera

* Initiative & Problem Solving: Proactively anticipates critical needs and moves forward with solutions with minimal guidance.

* Ability to Maintain Confidentiality: Handles all information with the highest level of confidentiality.
