You Will Be Responsible For:

PRINCIPAL DUTIES AND JOB RESPONSIBILITIES:

Demonstrates, through behavior, AdventHealth Orlandos service standards.

Provides staffing support to Nursing Administrators, Nurse Managers, department call personnel, ANM/Charge RN, and nursing staff by keeping the staffing sheets and computerized staffing program updated to reflect staffing changes in a timely manner. Prints shift staffing sheets as assigned and faxes to the nursing units.

Maintains communication with the nursing units for changes in census, acuity and employee availability. Performs equitable distribution of available nursing staff, with the oversight of the Nursing Supervisor. Contacts non-working staff and/or agency for unit/department needs and tracks response.

Answers phones in a courteous, diplomatic and sensitive manner and provides timely support for telephone inquiries as monitored by Nursing Supervisors. Communication with staffing secretaries is perceived by customers as being helpful and cooperative.

Maintains accurate employee/agency data and scheduling/staffing information in the computerized staffing program on a timely basis. Performs collection and tracking of staffing data as assigned (i.e. sitter tracking).

Provides daily Clairvia audits for assignments; assists in balancing schedules and audits attendance and manages make up shifts for all Nursing Units.

Participates in agency badge preparation. Verifies agency personnel competency worksheet prior to assignment. Completes agency voucher after completed performance evaluation forms are received from agency personnel. Performs on-shift time and attendance adjustments as needed to complete agency voucher.

Maintains office area and equipment in an orderly fashion so all staff members can function efficiently. Files and maintains records of department specific schedules or agency personnel, whichever is appropriate. Manages office functions, orders material/supplies, clerical.

Maintains a professional office demeanor, sensitive to the impressions left on all others. Willingly and consistently contributes to the team efforts of the department and customers.

Participates in practice changes as a result of performance improvement activities. Accurately documents and monitors activities as needed. Supports quality standards and initiatives set by the department. Refuses to participate in unethical procedures.

Owner of The Daisy Award; data collection and organization of nominees and coordination of awards event.

Serves as an expert resource and payroll training for new hires; provides on-going support for Manager of Nursing Operations and Nursing Supervisors. Manages Central Staffing Resource schedule and assists Nurse Managers and Nursing Supervisors with staffing challenges.

Coordinates and schedules meetings, special events; prepares necessary materials for these functions neatly and efficiently; orders printing with the AH Print Shop in a timely manner to ensure prompt delivery. Creates annual calendar and prepares Employee Attendance Tracking Calendars. Arranges for meeting spaces, vendors, in a timely manner.

Accurately records and transcribes minutes of departmental meetings or other meetings.

Drafts and prepares special reports/analyses using Excel for assigned projects.
